Summary of position
The Executive Administrative Assistant provides high-level support to the executive leadership team, ensuring seamless operations through expert calendar management, board reporting, and executive presentation coordination. This role requires exceptional communication, organizational skills, and the ability to anticipate and address the needs of multiple executives in a fast-paced, dynamic environment.
Responsibilities
Executive Support & Calendar Management
- Proactively manage executive calendars, anticipating conflicts and providing strategic solutions.
- Coordinate and schedule meetings, ensuring efficient time management for leadership.
Reporting & Presentation Preparation
- Prepare, edit, and coordinate monthly and quarterly reports in collaboration with leadership and key internal/external stakeholders.
- Assist in developing executive-level presentations for both internal and external audiences.
- Maintain strict confidentiality while handling sensitive leadership information.
Project & Communication Management
- Serve as a liaison between executives, internal teams, and external partners, ensuring clear communication and timely follow-ups.
- Research and respond to moderately complex inquiries with professionalism and discretion.
- Organize and manage small to mid-sized projects, ensuring timely execution and follow-through.
- Develop and implement a system for prioritizing executive communications and key activities.
- Track and manage executive expenses, preparing reports in a timely and accurate manner.

Requirements
- 1–3 years of experience in an executive administrative role, supporting multiple leaders.
- Bachelor’s degree in Business, Communications, or a related field preferred but not required.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint); experience with Canva, Lucidchart, or other presentation tools is a plus.
- Exceptional written and verbal communication skills, with the ability to craft professional correspondence and executive reports.
- Strong organizational skills, with meticulous attention to detail and accuracy.
- Ability to manage multiple priorities and adapt to shifting deadlines in a fast-paced environment.
- Self-motivated and proactive, capable of working independently while fostering strong team collaboration.
- Experience handling confidential information with professionalism and discretion.
