OBJECTIVE: To assist staff and clients as necessary to provide top quality architectural services. Ensuring the company’s Assets and Liabilities are current and Accurate to their policies and procedures.
DUTIES INCLUDE (but are not limited to):
- Be at your desk between the hours of 8:00 a.m. and 5:00 p.m. Monday thru Friday to answer our multi-line telephone system, direct calls, take and relay messages by providing quality customer service to all callers.
- Answer (or help get answers) questions, screen calls/messages for importance or necessity of calling staff members when out of the office. Be knowledgeable of cellular numbers, and staff members’ whereabouts.
- Assist any staff member with customer service to clients and contractors as needed by performing any office/clerical duties related to everyday tasks or special projects.
- Ensuring all items in Assist have made it out by their promised time and that File is caught up to the 48 hour window before leaving on Friday.
- Type/proof/mail correspondence, field reports, memos, all AIA forms, specifications, shop drawings, and punchlists. Maintain paper and electronic files of all documents.
- Make necessary telephone calls in preparing/receiving specification, utility and project information.
- Prepare plans, specs, shop drawings, etc. for shipment as needed.
- Training requirements – First two years 4 days of training and 3 days for each year thereafter.
- Maintain office supply/equipment inventory levels once a month. Toner & copy paper inventory upkeep and ordering. Accurately provide a budget estimate for the next year.
- Work with admin team to check/update SOP’s on a quarterly basis.
- Update KRA/Calendar/Job Descriptions as duties change.
