JOB TITLE : Administrative Assistant DEPARTMENT : Administration REPORTS TO : Operations Director BFOQ : Christian / Faith Aligned LOCATION : On-Site STATUS : Non-Exempt ORGANIZATION : Bread of Life Mission is a non-denominational, Christian, social services organization, which provides critically needed goods and services to the homeless, poor, and needy of Washington State without regard to race, color, sexual orientation, creed, national origin, or religion. Mission staff work to bring hope, healing, and recovery to Seattle’s homeless through a Christ-Centered approach, impacting Seattle one life at a time. SUMMARY OF POSITION : Bread of Life Mission’s Administrative Assistant will play a key role in supporting the business functions of Bread of Life Mission (BOLM). This role involves a variety of essentials tasks to ensure the smooth operation of our administrative office. The ideal candidate will have a heart for service, attention to detail, and the ability to multitask in a dynamic environment, all while upholding the mission and values of the organization. This position is an opportunity to make a meaningful impact in the lives of those we serve. DUTIES AND RESPONSIBILITIES :
- Uphold, promote, and encourage, in word and deed, desired organizational culture and core values; purposefully strive to establish and maintain a culture that affirms and advances BOLM’s mission statement, vision, and values.
- Manage day-to-day administrative tasks, including but not limited correspondence, file management, and data entry
- Implement efficient systems and processes to optimize workflow and productivity within the administrative office
- Answer phones and direct calls to the appropriate department.
- Deal with inquiries from the public.
- Maintain staff phone / contact and internal contact information.
- Responsible for maintaining corporate calendar including room and vehicle reservations.
- Acquire and sustain a sound working knowledge of BOLM departments, projects, policies and procedures.
- As needed assist with development projects : Greet donors, receive donations, provide receipts, and event support.
- Assist finance by uploading and coding invoices.
- Support the Data Entry Coordinator in opening mail, covering vacations, and helping with mailings.
- Assist with the preparation of presentations, reports, and other materials as needed
- Ensure the office and work areas are clean, organized and stocked with necessary supplies
- Assist with special projects or tasks as assigned
- Train volunteers and other staff who cover the reception area. CORE COMPETENCIES :

- Strong customer service skills; able to fully, clearly, and personably address inquiries, provide information, and engage all BOLM customers. EDUCATION / EXPERIENCE :
- High School Diploma or GED required, associate degree preferred.
- Two (2) years’ experience in a similar role.
- Proficiency in computer systems and office software WORKING CONDITIONS / PHYSICAL FACTORS : The employee is regularly in a typical office environment with adequate light and moderate noise levels. Additionally, this tole may require hours served on the weekend, evenings, and travel. This position requires frequent interaction with the homeless population. Will likely interact with individuals who may be intoxicated or under the influence and who may lack socially acceptable personal hygiene.
