Job Type: Full-time
Pay: $17.00 - $25.00 per hour (based on experience)

Breaking Through: A Clinical & Consulting Firm, Inc. is seeking a Healthcare Operations Manager or Mental Health Practice Administrator to join our growing team. As a fast-growing group of Licensed Professional Counselors and Clinical Coaches, we need a reliable, detail-driven, and motivated individual who can manage the day-to-day operations of our practice and ensure that we continue to grow while providing the highest level of care to our clients.

Responsibilities:

As our Healthcare Operations Manager, you will be responsible for a range of vital administrative and operational tasks, including but not limited to:

Medical Billing and Coding:

  • Handle all aspects of medical billing, coding, and claims processing.
  • Verify insurance benefits for existing and prospective clients.
  • Research, resolve, and resubmit denied claims and address rejections and remits.
  • Educate clients about their insurance benefits and billing processes.

Office and Administrative Management:

  • Organize and schedule appointments using admin software.
  • Plan meetings and take detailed minutes to ensure follow-up actions are tracked.
  • Manage administrative requests and queries from senior managers.
  • Maintain patient records and ensure compliance with privacy regulations.
  • Supervise and ensure the smooth operation of daily practice functions.

Bookkeeping and Financial Oversight:

  • Maintain accurate invoices and provide bookkeeping services.
  • Track accounts receivable and follow up on outstanding balances.
  • Submit and reconcile expense reports to ensure financial integrity.
  • Develop and maintain a filing system that supports efficient workflows.

Team Collaboration and Growth:

  • Work closely with clinicians to help develop strategies and improve patient services.
  • Assist in the onboarding of new clients and help maintain positive relationships.
  • Collaborate with executive and senior administrative staff to handle requests and queries.

Requirements:

We are seeking a candidate who is not only experienced but also dedicated to bringing excellence to our practice. Here’s what we’re looking for:

  • Experience:
  • 5 years of experience in medical billing, coding, and insurance claims processing.
  • 5 years of experience in office management, administrative roles, or executive assistance.
  • Experience with mental health or healthcare industries is preferred but not mandatory.
  • Strong understanding of accounts receivable (A/R), billing, collections, and financial tracking.
  • Prior experience with Microsoft Excel and other office software (MS PowerPoint, MS Word).
  • Skills:
  • Strong problem-solving abilities—can research and resolve complex billing and insurance issues efficiently.
  • Excellent attention to detail—must be able to track and organize multiple tasks simultaneously.
  • Organizational skills—you will need to juggle many different tasks and keep the practice running smoothly.
  • Communication skills—you’ll need to interact effectively with clients, clinicians, and senior managers.
  • Empathy and professionalism—you must interact with clients and colleagues with respect, understanding, and professionalism.
  • Personality Traits:
  • Motivated and proactive—you don't wait for problems to arise, you anticipate and address them.
  • Detail-oriented and thorough—you have a "neurotic" attention to detail, especially regarding finances and billing.
