OPERATIONS MANAGER

Overview

Brent House, the Episcopal campus ministry at the University of Chicago, is looking for a highly organized, self-starting person with excellent communication and interpersonal skills to help us manage Brent House’s property and communications in a relaxed and flexible environment. Program functions include but are not limited to:

  • property management, coordination of building use, and the practical aspects of our residential community;
  • digital communications and recordkeeping
  • office management
  • communications with staff and board members, students, residents, donors and alums, and vendors.

Times of Work

  • The Operations Manager is a part-time, non-exempt position.
  • 25-29 hours per week, at a schedule agreed upon with the chaplain (Work is expected to be done primarily on-site. In coordination with the chaplain, some work can be done virtually.)

Responsibilities

Property Management

  • Oversee day-to-day upkeep and maintenance of the house and property, including supervising the contracted cleaning service, lawn care service, and handyman, in coordination with the Chaplain and property committee
  • Coordinate guest room scheduling and use with house manager
  • Resident relations (in cooperation with house manager and chaplain), including collecting rent and recordkeeping

Communications

  • Assist the Chaplain with weekly email newsletter and other periodic newsletters and donor solicitations (email and print)
  • Produce posters, flyers, and ads for special events
  • Maintain website and social media accounts (in coordination with chaplain and students)
  • Coordinate internal (staff, board, student leadership, residents) communication

Administrative Support

  • General office tasks (e.g. filing, organizing, ordering supplies and equipment, etc.)
  • Assist with preparation and follow-up for board meetings
  • Work with vendors and church organizations (e.g. Church Pension Fund)
  • Supervise work study students, as appropriate
  • Document and update policies and procedures for Brent House
  • Coordinate Brent House calendars

Financial/Donor Information Management

  • Be the primary point of contact for Brent House’s contracted bookkeeping company
  • Manage and maintain alumni/donor database
  • Produce and send financial reports and other information as needed to the Diocese, board, and other entities
  • Process donations and provide thank you notes and tax-related acknowledgments of financial gifts

Essential Skills Required

  • Organizational skills: ability to work independently, prioritize workload, calendaring, project coordination
  • Ability to be proactive, flexible, collaborative, and ask questions as needed
  • Exceptional communication and interpersonal skills, both verbal and written, including strong writing, grammar, and proofreading skills and the ability to communicate with young adults and donors
  • Comfortable making and answering phone calls
  • Proficiency in word processing, spreadsheet, and database management, and ability to learn new programs quickly
  • Ability to maintain confidentiality at all times regarding persons and information
  • High School Diploma or GED
  • Two years in office administration
  • Willingness to work within the canons of the Episcopal Church
  • Comfort working in an environment that actively affirms and supports LGBTQIA persons

Preferred

  • Experience/skills with marketing and social media promotion
  • Knowledge of desktop publishing software and one or more of the following programs or similar ones: Microsoft Office, Google Workspace, Neon CRM, Constant Contact
  • Conversational Spanish a plus
  • Experience working with Mac computers

Physical Demands

  • Ability to climb stairs and lift 20 pounds
  • Ability to work very occasional evening or weekend hours (likely no more than a few times a year), such as special events or board meetings

  • Safe Church and anti-racism training (to be completed as part of onboarding)
  • Background check

Reporting Relationships

The Operations Manager reports to the Brent House Chaplain.

Compensation

  • $22-29 per hour
  • $50,000 of Group Term Life Insurance.
  • Short and Long Term Disability Insurance.
  • Lay Pension Plan through the Episcopal Church
  • Eligible to participate in diocesan health and dental insurance at the employee’s expense

Leave (based on a six-hour workday):

  • 60 hours of paid vacation, accrued at a rate of 5 hours per month. Up to 24 hours may be carried from year to year.
  • Paid federal holidays
  • 30 sick hours (accrued at a rate of 10 hours per quarter) not to be carried from year to year.

Total compensation package, including pay and benefits, negotiable.

Continuing Education

Paid professional development (Office, Constant Contact, Neon, etc.)

This is a non-exempt position

Pay: $22.00 - $29.00 per hour
