Job Description
Administrative Assistant to the Chief of Staff
This part-time position is accountable for providing logistical support to the Chief of Staff including travel arrangement, calendar management, expense reconciliations, and other projects as needed. This position also provides backup support in the Office of the President as needed.
What you’ll do in this position:
Support the Chief of Staff
- Provide direct administrative support to the Chief of Staff.
- Make complex travel arrangements, prepare detailed itineraries, and reconcile travel expenses.
- Manage calendar to ensure optimum use of time, using good judgment to determine priorities and diplomacy when handling internal and external requests. Help the Chief of Staff finish high-level projects by prioritizing assignments, tracking due dates, and assisting in project management.
- Prepare, edit, and manage correspondence on behalf of the Chief of Staff.
- Hire, train, and supervise student research assistants working on projects for the Chief of Staff.
- Gather information and research to support projects and initiatives overseen by the Chief of Staff.
- Assist in drafting complex writing and research projects.
- Other advanced projects, as assigned.
Public Relations
- Greet visitors, screen in-coming calls, and handle difficult situations in a calm, friendly, and diplomatic manner.
- Coordinate with other executives and support personnel on scheduling, events, and special projects.
Support Office of the President
- Assist in hiring and training student employees working in the Office of the President.
- Assist with general office management by ordering supplies, ensuring the office space is maintained and appealing, and ensuring that appropriate resources are available to office personnel to fulfill job functions.
- Provide backup support to the University President when the Executive Assistant to the President is unavailable.
- Assist President and Executive Assistant on special projects as needed.
What qualifies you for this role:
Required
- A firm commitment to the mission of BYU.
- Minimum four years of experience in a secretarial or administrative support role.
Preferred
- At least two years of experience in an executive office.
- Bachelor’s degree.
Note: This is a part-time position (28) hours per week.

Actual compensation based on education and experience
