Job Description

Office and Graduate Program Manager

The Department of Comparative Arts and Letters (CAL) at BYU is a vibrant academic home to Art History, Classics, Comparative Literature, Interdisciplinary Humanities, and the MA in Comparative Studies. As the CAL Department Office and Graduate Manager, you will play a vital leadership role in ensuring smooth day-to-day operations while advancing the department's mission of scholarly excellence and inspired teaching. You’ll have the opportunity to shape office systems, support a community of students and faculty, and guide graduate students from admission through graduation. This position offers a dynamic work environment with a broad impact—combining financial oversight, personnel management, and academic program coordination—with meaningful engagement in BYU’s academic mission.

What you’ll do in this position:

  • Supervise and mentor student employees, TAs, and support staff; manage hiring, training, scheduling, and evaluations
  • Coordinate adjunct hiring, contracts, onboarding, and office space logistics
  • Manage all department operations: oversee class scheduling, internal and external communications, facilities use, purchasing, and provide logistical and administrative support to ensure faculty can effectively fulfill their teaching, research, and university service responsibilities
  • Oversee department and graduate budgets, forecast expenses, reconcile accounts, and support financial decision-making
  • Administer and support a graduate program of 20–25 students, from admissions to graduation, ensuring compliance with university requirements
  • Serve as liaison between students, faculty, Graduate Studies, and other campus units; maintain graduate records and support theses and ETD submission
  • Manage the department website, social media strategy, and weekly digital newsletter
  • Plan and execute department events, socials, and graduate orientations
  • Develop and implement alumni outreach and student recruitment strategies
  • Maintain faculty data, teaching materials, and instructional support systems
  • Coordinate student internships and associated inquiries

What qualifies you for this role:

Required

  • A firm commitment to the mission of BYU
  • Bachelor’s degree and 2years of office administrative experience (or equivalent combination of education and experience)
  • Advanced proficiency with Microsoft Office and Adobe products
  • Strong interpersonal, written, and verbal communication skills
  • High attention to detail and ability to manage multiple priorities
  • Familiarity with financial reporting and university systems
  • Understanding of BYU policies, FERPA, and administrative practices

Preferred

  • Bachelor’s degree in Business or Humanities and 6 years of experience in university administration or related office management
  • Experience using Workday, Google Workspace, Box, Qualtrics surveys, and other BYU administrative platforms
  • Demonstrated experience with event planning, social media management, or website content management
  • Experience with academic office management and graduate program coordination
  • Experience with student recruitment or alumni engagement
  • Familiarity with faculty hiring and academic policy administration

Pay Grade: 49

Compensation Range

Actual compensation based on education and experience

$22.00 - $28.57
