We are looking for a competent Office Assistant to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently. This person will be comfortable working in a fast paced environment while having a high degree of attention to detail as well as incorporating new and effective ways to achieve better results.
Responsibilities
- Document Management: Handle incoming and outgoing documents, maintaining proper storage, retrieval, and distribution.
- Office Supplies: Monitor inventory levels of office supplies and place orders when necessary.
- Mail Handling: Receive, sort, and distribute incoming mail and manage outgoing mail, including packages
- Answer and direct phone calls to corresponding departments
- Sort and distribute communications in a timely manner
- Help Project Managers coordinate hotels, flights, rentals etc.
- Check and respond to emails in a timely manner
- Schedule inspections as needed.
- Assist on coordinating trades for specific projects
- Communicate with vendors/subcontractors
- Provide administrative support and coordinate with other departments as needed
- Submit vendor documents to accounting
- Process employee applications
- Resolve office-related malfunctions and respond to requests or issues
Skills
- Proven experience as a back-office assistant, office assistant, or in another relevant administrative role
- Knowledge of computers and general office equipment (printers, copiers, scanners, etc.)
- Thorough understanding of office management procedures
- Ability to multi-task, prioritize, and manage time efficiently.
- Analytical abilities and aptitude in problem-solving
- Excellent written and verbal communication skills
- Proficient with Microsoft Office Suite (Word, Outlook and Excel)

Pay: $18.00 - $20.00 per hour
Expected hours: 40 per week
Schedule:
- 8 hour shift
- Day shift
- Monday to Friday
- Morning shift
- Weekends as needed
Education:
- High school or equivalent (Preferred)
Experience:
- Administrative Assistants & Office assistant: 2 years (Required)
- Customer service: 1 year (Required)
