What are the responsibilities and job description for the UPK Program Administrator position at Bright Horizons Children's Centers?
Our competitive salary range is $80,000 to $90,000 per year. Salary is determined by your level of education and experience in Early Childhood Education or a related field.
Primary PurposeThe Pre-K Program Administrator assists in managing the day to day operations of the Department of Early Childhood Education (DECE) 3K and PreK For All programs across the selected group of Bright Horizons centers. This role will liaise closely between DECE, the centers and other departments such as Marketing, and Accounting, to ensure that all aspects of the programs are delivered in accordance with the DECE guidelines. The Program Administrator is expected to conduct regular classroom and center observations and provide feedback to ensure DECE guidelines, processes and protocols are met. Responsible for overseeing up to 10 centers with Pre-K For All Programs, overseeing up to 10 substitute staff. The Pre-K Program Administrator may be assigned classroom responsibilities as needed.
Essential Functions/ResponsibilitiesProgram Operations & ComplianceAssist Center Directors with onboarding of new employees including overseeing clearances for DoE/PETs
Maintain records of staff qualifications and certifications
Create and maintain timelines and check-lists for administrators and teachers with required tasks
Review and audit child applications, attendance and assessments in DoE vendor portal
Assist in financial tasks, review monthly program financials with Center Directors and conduct a written end of year performance review (invoicing, budgeting, mid/end of year reports)
Assist in gathering all contract required docs (license, COI, etc.) Assist Centers with DoE Parent/Staff surveys
Liaison between DoE personnel resources including social workers, nurses, etc.
Manage, train and maintain all online systems (PETs, MYSchools, Vendor Portal, Protraxx, ASPIRE, Info Hub Professional Resources for Teachers)
Ensure compliance with Health & Safety Checks (DOHMH, DOB, FDNY) * Manage CACFP (if applicable)
Fulfill classroom responsibilities, including work in ratio, as needed.
Visit centers 4 days a week at minimum focusing on observing classrooms, training teachers and admin teams, assisting centers preparing for assessments of children and program, assisting with deliverables to DoE. 1 office day permitted per week to allow for admin tasks.
Train teachers/admin on ASQ student assessments, DoE handbook, DoE curriculum and requirements
Train on Program Assessments - ECERS/CLASS
Organize and schedule annual teacher DoE trainings
Implement and train on Remote Learning
Assist with all Program Readiness items (ordering equipment, room set up)
Assist centers prepare for assessments of children and program
Help develop/create parent communications in partnership with BH marketing (enrollment letters, program introduction slide deck, parent survey)
Assist with parent concerns regarding Pre-K Program
Ongoing family engagement
Recruit, orient and manage up to 10 substitute teachers. Coordinate their schedules in centers with Center Directors to cover vacancies in UPK classrooms as needed. Ensure implementation of all substitute duties as described in their job descriptions. Conduct regular observations, evaluations of performance and provide feedback in collaboration with Center Directors.
Ability to support multiple supervisors and report in to different business lines
Coaching, training and mentoring for center leadership and center staff
Ability to influence without direct oversight or supervisory responsibilities
Support and sustain positive morale of the staff. Solicit input from staff and follow-up promptly. Ensure that team members communicate directly, work to resolve conflicts, and avoid gossip.
Establish and maintain team building among all classroom teaching teams and whole center/school staff by meeting regularly in partnership with Center Director.
Serve as a role model by assuming a fair share of work including classroom and center/school responsibilities as needed regarding Pre-K programming.

NYS Teaching Certification (B-2, N-6, 1-6, Special Education) is preferred
