Our company is seeking a highly skilled Finance Department Coordinator to join our finance team.

As a Finance Department Coordinator, you will be responsible for providing administrative support to the finance leadership team, including preparing reports, coordinating meetings, and handling correspondence.

Main Responsibilities:

  • Provide administrative support to the finance leadership team, including preparing reports, coordinating meetings, and handling correspondence.
  • Manage financial records, including accounts payable and accounts receivable, and maintain accurate and up-to-date records.
  • Assistant with budget preparation and tracking, generating reports as needed.
  • Coordinate travel arrangements for finance leadership and other members of the management team.
  • Track and reconcile travel expenses and budgets.
  • Prepare and submit expense reports, ensuring accuracy and compliance with company policies.
  • Preparing and distributing meeting agendas and minutes.
  • Filing and maintaining important financial documents.
  • Ordering and managing inventory of office supplies for all locations.
  • Draft and distribute communications on behalf of the finance team.
  • Generating financial reports and presentations as required.
  • Analyzing financial data to identify trends and potential issues.
  • Ensure adherence to company financial policies and procedures.
  • Maintain accurate financial records for audit purposes.

Requirements:

  • Bachelor's degree in business, finance, or related field preferred; at least 2 years of college experience required.
  • 3 years professional work experience required.
  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Experience with accounting software (e.g., NetSuite).
  • Familiar with data room management, corporate data room and indexing.
  • Professional and executive presence.
  • Highly trustworthy, discreet and able to manage confidential and proprietary information.
  • Excellent attention to detail and accuracy with numbers.
  • Strong organizational and time management skills.
  • Excellent oral and written communication and interpersonal skills.
  • Ability to prioritize tasks and meet deadlines.
  • Spanish language skills are a plus.

Please note that this position requires occasional travel for off-site meetings.
