Job Summary:
We are looking for an experienced Financial Operations Specialist to join our finance team. The ideal candidate will have excellent administrative skills, strong analytical abilities, and the ability to work effectively in a fast-paced environment.
Main Responsibilities:
- Manage financial records, including accounts payable and accounts receivable, and maintain accurate and up-to-date records.
- Oversight of time and expense entry and reports, ensuring accuracy and timely submission.
- Assist with budget preparation and tracking, generating reports as needed.
- Coordinating meetings for finance leadership and other members of the management team.
- Coordinate travel arrangements for finance leadership and other members of the management team.
- Track and reconcile travel expenses and budgets.
- Prepare and submit expense reports, ensuring accuracy and compliance with company policies.
- Preparing and distributing meeting agendas and minutes.
- Filing and maintaining important financial documents.
- Ordering and managing inventory of office supplies for all locations.
- Draft and distribute communications on behalf of the finance team.
- Generating financial reports and presentations as required.
- Analyzing financial data to identify trends and potential issues.
- Ensure adherence to company financial policies and procedures.
- Maintain accurate financial records for audit purposes.
Requirements:
- Bachelor's degree in business, finance, or related field preferred; at least 2 years of college experience required.
- 3 years professional work experience required.
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Experience with accounting software (e.g., NetSuite).
- Familiar with data room management, corporate data room and indexing.
- Professional and executive presence.
- Highly trustworthy, discreet and able to manage confidential and proprietary information.
- Excellent attention to detail and accuracy with numbers.
- Strong organizational and time management skills.
- Excellent oral and written communication and interpersonal skills.
- Ability to prioritize tasks and meet deadlines.
- Spanish language skills are a plus.
Please note that this position requires approximately once a quarter travel for off-site meetings.
