Job Description :

The incumbent of this position is a support member to the Youth Community Support team and is responsible for organizing, coordinating and monitoring all non-clinical operations of Youth CPRP under the direction of the team leader; providing receptionist activities including triaging calls, coordinating communication between the team and clients, de-escalating situations with clients who have increases of symptomatology, and assisting clients, their families and agencies to get answers to questions.

Essential Job Functions :

  • Prepare / enter the monthly, weekly and daily schedules for Community Support Specialists
  • Participate in team staffing meetings
  • Order and maintain unit supplies, equipment, and furniture;
  • Record admissions and discharges to provide a source of information for statistical reports.
  • Maintain CPRP client charts according to the standards set forth; set up charts for newly admitted clients; file materials in client charts and files to assure current, accurate information is available; and monitor Youth Community Support clinical charts in coordination with the team leader.
  • Collect necessary data to prepare reports or track statistical information.
  • Act as point of contact for agency policies, assist with updating as needed.
  • Greet the public in a pleasing and helpful manner. Display professional attitude in using the telephone and in person. Provide backup assistance with telephones based on absences or workload overflow.
  • Provide oversight of all landline and cellular phone accounts.
  • Provide triage and coordinate communication between the team and clients; get answers to questions for clients, families, community resources and agencies; work with callers to relieve urgent situations or to temporarily manage them until other staff are available; attend to symptomatic behavior of clients who come into the Youth and Family office.
  • Effective communication of referrals and client / patient information to all disciplines.
  • Thorough and accurate completion of Screening / Admission paperwork with the understanding of the requirements and importance of the paperwork.

Knowledge, Skills, and Abilities :

  • Exceptional knowledge and skill in administrative assistance.
  • Strong skills working with Microsoft Office Applications including, but not limited to Excel, Word, and PowerPoint.
  • Ability to effectively communicate with diverse workforce.
  • Highly detail oriented, skilled in accuracy.
  • Ability to work with information in a confidential manner.
  • Organization skill set and ability to make contacts and establish relationships.
  • Knowledge of computer software.
  • Experience and Education Qualifications :

  • May have education and experience in the field of human services; or office management or both.
  • Supervisory Requirements :

    None

    Employment Requirements :

  • Successful completion of background check including criminal record, driving record, abuse / neglect and fingerprint check.
  • Completion of New Hire Orientation at the beginning of employment.
  • All training requirements including Relias at the beginning of employment and annually thereafter.
  • Current driver's license, acceptable driving record and current auto insurance.
  • Physical Requirements :

    ADA Consideration - Sedentary work : Exerting up to 10 pounds of force occasionally (exists up the 1 / 3 of the time) and / or a negligible amount of force frequently (exists 1 / 3 to 2 / 3 of the time) to lift, carry, push, or pull, or otherwise move objects, including the human body. Repetitive movements of hands, fingers, and arms for typing and / or writing during work shift.

    Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
