Sales Coordinator
Hours | Schedule: 40 hours/week | Monday – Friday | 8am – 4:30pm

Overview:
Join our team as a Sales Coordinator and play a key role in driving success at Porter Hills Village and Cook Valley Estates! In this position, you’ll directly support our Sales department by helping market and sell our properties. You'll also serve as the main point of contact for incoming residents moving into our Life Lease/Independent Living residences. Your responsibilities will include handling daily administrative tasks, updating marketing materials, and assisting with special events and sales efforts aimed at attracting new residents. What you’ll do:
Resident and Sales Support:
- Serve as the first point of contact for sales calls, providing information on room rates, billing, qualifications, and resident care procedures.
- Respond to prospective residents, ensuring timely follow-ups and scheduling site visits/appointments.
- Coordinate and assist the sales team with facility tours and events, including setup, event support, and cleanup.
- Respond to phone inquiries and personal tour requests as directed by the Sales team.
- Send applications and brochures to interested individuals.
Resident Transition and Admissions Support:
- Assist residents and families with transitions by providing information on available options.
- Coordinate the admission and move-in process for new residents in Independent Living, Assisted Living, and Memory Care, including deposit processing and accurate record-keeping.
- Receive and distribute applications for new residents, ensuring they align with the appropriate level of living.
- Help the sales team complete admissions packets upon new resident admittance.
Administrative and Organizational Support:
- Update and maintain addresses and information in the Aline/Sherpa database.
- Make reminder calls for events.
- Maintain daily and weekly reports (e.g., Census, Sherpa).
- Ensure work areas are clean and all records and files are properly stored.
- Assist with photo/video shoots, copying, printing, and other administrative tasks as directed, often working with tight deadlines.
Marketing and Digital Support:
- Help organize, update, and maintain digital marketing efforts, including social media platforms, as directed by the Director of Sales.
What it takes:
- Bachelor’s degree required from an accredited college or university, or equivalent experience and education.
- Two (2) years’ experience in Senior Housing and Sales & Admissions preferred.
- One (1) year of experience working with the elderly population preferred.
- Experienced with Microsoft Office Suite, printing best practices and social media content contributions within a business setting, preferred.
- Must possess computer skills and be able to use a variety of computer software programs.
