What are the responsibilities and job description for the Grants Administrator position at Bristol Bay Area Health Corporation?
PURPOSE OF THE JOB:
Engage comprehensive grant management strategies for optimal grant performance, including programmatic planning (with subject matter experts), execution, and adherence to allowable costs and other applicable regulations Establishes the direction for the department under his or her control, aligns department activities with the BBAHC strategic plan, integrates department with other areas and activities, and plans for growth and development of the Grants Department. Trains and guides Grant Department Staff and other department personnel, such as potential grant program managers in grant writing, and administration, and the current strategies in play such as SMART (Specific, Measurable, Accountable, Relevant, and Time-bound) metrics, work plans, milestones, and project management tactics. Organizes the work of the Grants Department to reach optimal levels of performance that are results-focused, forward-looking, and havc thc intended impact for the programs on behalf of BBAHC. Looks for efficiencies and opportunities to streamline and bridge grant accounting between the Grants Department and the Finance Accounting Department to ensure compliance as dictated by the Code of Federal Regulations and to ensure excellent outcomes of the single audit requirements.
QUALIFICATION
A minimum of 2 years of successful grant management experience and/or experience related to systems development and applicable regulatory compliance is preferred
- Bachelor's Degree in an applicable field such as health planning, accounting, business, public or health administration, journalism, or clinical science required
- Experience obtaining and monitoring organizational grants over $250,000 is preferred
- Excellent oral, written, and office software (word processing and spreadsheets) skills are required
- Experience in leading/facilitating team functions and processes required
- Familiarity with fund accounting software preferred
- Possesses strong organizational skills and the ability to work independently with minimal supervision
ESSENTIAL FUNCTIONS:
Creates, maintains, and updates (as applicable) a systems-wide training/ refresher (as needed) in the areas of grant management, relevant to various funders (state, local, federal, foundations, etc.) for Division and Department Managers, as well as grant related program managers, to ensure they are knowledgeable on regulations and the current climate of regulatory efforts.
- Manages all aspects of grants from proposal submission through the entire grant life cycle.
- Monitors and manages grant-funded projects to ensure timely reporting and compliance.
- Tracks all applications, status, and funding amounts and keeps track monthly of grant progress in alignment with project management principles: cost, schedule, scope, and quality. This includes reports of carry-over, underspending, overspending, and level of program performance.
- Maintains a document repository of all current and relevant grant documents.
- Facilitates effective communication with team members, including members located outside of the Grant Department (such as emails, phone calls, recurring meetings, and progress reports on grant performance within the project management triangle), BBAHC Division and Department Managers, and collaborating agencies.
- Provides pertinent guidelines, laws, and applicable funding regulations to BBAHC programs, departments, and affiliated Tribes.
- Determines priorities and allocation of shared resources, participates in strategic planning with the Program Coordinator and Division Manager monitors ongoing and anticipated project needs.
- Organizes the work of the Grant Department, ensuring staff have the required technical skills and training to keep current in the industry.
