JOB TITLE: Assistant Director
REPORTS TO: Reports to the Executive Director
LEADERSHIP DUTIES: Assists the Executive Director in oversight and management of all clinic activities. Oversees staff and volunteers in day to day clinic operations
GENERAL SUMMARY OF DUTIES: The Assistant Director is responsible for the all clinical operations with specific responsibility for patient processing, appointments and patient referrals for both in-house and off site appointments, directing and coordinating the volunteer staff, ensuring all medical supplies both donated and purchased are appropriate and accounted for and overseeing clinic operations in the absence of the Executive Director.
ESSENTIAL FUNCTIONS:
Coordinate Daily Clinical Operations
· Responsible for all patient in-processing, appointments, and patient referrals to outside providers
· Supervise clinic staff and volunteers during clinic operations to ensure well-coordinated and efficient patient care.
· Facilitate communications and teamwork between clinical disciplines (providers, nursing, pharmacy, dental)
· Assists medical providers with access to records, reports, and diagnostics to ensure high quality care
· Supervise volunteers during clinics and be familiar with all volunteer duties and assist as needed to ensure patient flow.
· Assists patients as needed with transportation, medications, and any other barriers that contribute to non-compliance with clinical management
· Oversees the dental program, billing, and ensures collections of funds to maintain budget and financial controls.
· Brings issues to the attention of the Executive Director when identified
· Liaisons with outside referral providers as needed to ensure patient needs are met
Financial and Resource Management:
· Manages resources needed for clinic operations including medical supplies. Coordinates purchase with Bookkeeper.
· Reviews referral bills to vet they are BSC referrals and coordinate monthly write-off requests for pathology, laboratory, and radiology as applicable
· Coordinates with the Executive Director on for approval for payments not budgeted
· Works with Executive Director in applying for and managing grants and required reporting.
· Supports Clinic fundraising activites and other events as needed
Technology and Facility Management:
· Be familiar with and ensure use of medical software to create operational efficiency
· Handles technology related projects, issues or interruptions as needed
· Coordinates technology updates needed for the EMR, phone system, computers and other IT equipment
· Coordinates repairs needed for facility and non-computer equipment
· Assists with social media campaigns posting and creation of posts
*Any other duties as assigned by the Executive Director
Education:
Minimum of bachelor’s degree in Health or Business Administration or equivalent required.
Experience:
· 1-3 years of managing staff and operations in a non-profit setting
· Excellent written and oral communication skills, including strong listening and presentation skills
· Excellent interpersonal skills, including ability to develop and sustain relations ships with volunteers, staff, donors and patients
Qualities Preferred:
· Experience serving marginalized/underserved populations. Demonstrated passion about the mission of BSC: providing access to quality healthcare for the uninsured
· A deep understanding of the impact of social determinants on health outcomes
· Proven complex problem-solving skills. Able to identify resources and/or options to improve medical care and realize better health outcomes for patients
