The Guest Services Coordinator is responsible for preparing daily arrivals, assisting with check-ins and check-outs, and handling guest issues to ensure satisfaction. You will manage guest communications, including calls, emails, and voicemails. Additionally, you will perform tours for potential guests, follow up on maintenance requests, and assist with rent collection.
Essential duties
- Prepare arrivals for the day: Contract (as needed), detail sheet and keys with Wi-Fi information.
- Prepare and send a summary sheet for the day.
- Assist with check ins and check outs.
- Handle guest issues and follow up to ensure guest satisfaction.
- Answer guest calls and respond to guest emails and voice mails within departmental response time policy.
- Complete all daily tasks and follow ups as assigned by management.
- Confirm guest departure or extensions for the following day.
- Report and follow up on all guest maintenance requests.
- Perform tours for all potential guests.
- Follow up with guests to update credit card information as needed.
- Assist with rent collection by the end of each month
- Maintain organized clean work environment.
- Attend and participate in scheduled meetings.
- Assist with additional overflow duties or projects.
- Respond to all emails and/or calls received once the business office is closed for the day when on call.
- Report to Assistant General Manager when supplies need to be ordered.
Qualifications
- Knowledge of Microsoft Office
- OPERA knowledge preferred but not required
Education & Experience
- Customer service experience
- Hospitality experience preferred
- High School diploma
Supervisory Responsibilities
- This position does not include any supervisory responsibilities.
- May provide cross-training to staff.

Physical Demands
While performing the duties of this job, the employee is regularly required to stand, talk, and hear. The employee is frequently required to use their hands. The employee must have the ability to dial, answer, and talk on a telephone. The employee is required to walk, stand, sit, bend, kneel and reach with hands and arms. This job requires the ability to occasionally work in stressful conditions and remain focused for extended periods of time. The employee must have the ability to lift up to 50 pounds and drive.
