Position Overview
The Office Manager at Brokers International plays a pivotal role in ensuring smooth day-to-day operations of our commercial property management office. This position involves coordinating administrative functions, supervising office staff, and liaising with current and prospective clients. The Office Manager will also collaborate with leadership to generate new business opportunities, foster client relationships, and represent our company’s values of professionalism and exceptional service. In addition, this role will assist in the day-to-day property management responsibilities, requiring a strong understanding of bookkeeping, property maintenance, and leasing practices.
Key Responsibilities
Office Administration
- Oversee daily administrative activities, ensuring a well-organized and efficient office environment
- Manage office supplies, equipment, and maintenance requests
- Implement and maintain office policies and procedures to improve operational effectiveness
- Prepare and process documentation such as client agreements, invoices, and vendor contracts
Staff Supervision
- Recruit, onboard, and train office employees, promoting a collaborative and high-performing team culture
- Schedule and delegate tasks to administrative staff, ensuring accountability and timely completion
- Conduct regular performance reviews and provide constructive feedback for professional development
Client Relations
- Serve as a primary point of contact for clients, ensuring high responsiveness and customer satisfaction
- Coordinate and attend client meetings, property visits, and networking events
- Address and resolve client inquiries, escalating issues to property management leadership when needed
Business Development
- Identify opportunities for new business, coordinating with senior leadership to craft proposals and presentations
- Foster and strengthen relationships with clients, vendors, and industry partners to expand the company’s network
- Participate in marketing initiatives, including social media, email campaigns, and industry conferences
Financial Management & Reporting
- Collaborate with accounting to manage budgets, track expenses, and ensure accurate financial reporting
- Prepare and present office operational and financial reports to senior management
- Support property managers in tracking receivables and payables, following up on outstanding client payments
Compliance & Risk Management
- Ensure compliance with regulatory requirements, company policies, and industry best practices
- Manage office-related health and safety procedures, coordinating with property managers on building-related compliance
Property Management Support
- Assist in day-to-day property management tasks, including responding to maintenance requests, lease administration, and tenant communications
- Coordinate with vendors and contractors to address property maintenance and repair needs
- Maintain accurate records of property operations, supporting bookkeeping functions and financial tracking
Qualifications & Skills
Education & Experience
- Proven experience (3 years) in office management, administrative leadership, or operations, ideally in real estate or property management
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with property management software (e.g., , AppFolio) and CRM systems (preferred)
- Understanding of bookkeeping principles and practices
- Knowledge of property maintenance and leasing procedures
