About The Position
Brooklyn Grange seeks an organized, detail-oriented Office Manager. The Office Manager’s main work will support our Finance & Operations team with the day-to-day operations of the business. This role requires organization, a keen eye for detail, and a pro-active and hospitable approach to the work and to people. The Office Manager will report to Brooklyn Grange’s Finance & Operations Managers and will work year-round across primarily at the company’s Brooklyn Navy Yard headquarters. This position will primarily work out of Brooklyn Grange’s headquarters in the Brooklyn Navy Yard, but will be required to visit our Sunset Park location periodically.

Brooklyn Grange is the world's largest green roof farming and intensive green roof business. We grow vegetables, and we design/install/maintain green roofs, gardens, and farms. We also host programming & events on our rooftop farms in Brooklyn, NY. Schedule
Monday through Friday with a minimum of 32 hours per week. Starting times can vary but most shifts during the busy season should expect to end around 6pm. This is an in office position only.
Key Responsibilities
OFFICE and FACILITY MAINTENANCE
Manage the smooth and hospitable operations of office and facility spaces, including but not limited to: regular maintenance of common and private work areas to ensure cleanliness, safety, and aesthetic optimization for all stakeholders.
Receive and direct visitors as appropriate, receive mail and deliveries; pack and send outgoing e-commerce shipments.
Coordinate with the Facilities team to address office issues, liaise and assist sub-tenants are needed, occasionally research and purchase materials and equipment, and troubleshooting logistics as they arise.
Manage merchandise, branded inventory at all sites for tours & markets
During busy seasons support maintenance teams with packing and unloading tools, supplies, and plants into Maintenance team’s vehicles at the end of each work day.
Drive and park maintenance vehicles at the end of the workday and ensure any vehicles needing repairs are brought to and from the mechanic
Contribute to the organization, cleaning, and upkeep of the Design/Build/Maintenance team’s facility spaces, including tool storage, plant nursery, and vehicles
ADMINISTRATIVE and BOOKKEEPING
Manage the business’ email inboxes, reply to incoming inquiries in a timely, gracious and informative fashion; answer the occasional phone call.
Monitor and collect accounts receivable by contacting clients via telephone or email; communicate with managers on the status of their clients’ accounts
Organize and track office inventory at all office sites, as well as kitchen inventory; order office supplies and other company supplies as needed
Assist with bookkeeping, filing, cash handling, and other Finance department projects as needed
Assist with other administrative and office management work as-needed, and be willing to jump-in on other work onsite or special projects when necessary

Is comfortable and experienced with multitasking and prioritizing, is organized
Is a self-motivated go-getter with a dependable and strong work ethic, and can work independently;
Is a team player and genuine “people person” with gracious and proactive hospitality skills and a sense of humor
Is reliable, trustworthy, and punctual
Is organized and professional in responding to emails in a timely fashion, can navigate Google Drive and Microsoft Office;
Experience with Adobe design products or Squarespace a plus but not required
Is interested in the environment, sustainable agriculture, food, and/or farming
Has a valid drivers license
