Since 1968, Brooklyn A has provided free legal services for low- and moderate-income individuals and families throughout New York City. Our clients live in rapidly gentrifying neighborhoods where many residents and small business owners have been displaced or are facing displacement and harassment. For over half a century, Brooklyn A has provided high-quality, low-barrier neighborhood-based legal services to individuals, families, nonprofit community-based organizations, community development corporations, coalitions, and small business owners, interested in developing and sustaining vibrant, healthy communities. Brooklyn A has three core departments -Preserving Affordable Housing (PAH), Consumer & Economic Advocacy (CEA), and Community & Economic Development (CED)-each of which has unique initiatives and plays a vital community role to ensure basic needs are met and fundamental rights affirmed.

Position Summary :

The Client Services Associate will be responsible for providing direct services to clients including intakes, providing referrals, managing client information and documentation, and supporting the overall administrative needs of the PAH Program. This role involves significant client interaction, data management, and collaboration with program staff to ensure efficient and effective service delivery.

Responsibilities :

  • Provide direct services to clients, including staffing intake on court days as scheduled, preparing program resources for intake days, making internal or external referrals, filling out case closing forms, and client follow-up post intake;
  • Coordinate and manage client flow, documenting all interactions with or on behalf of clients and attorneys;
  • Maintain familiarity with program resources for both internal and external referrals;
  • Attend outreach events on behalf of the program, providing information about services offered and application procedures;
  • Represent the program within the community, with professionalism and enthusiasm;
  • Enter client information such as demographic / contact information and upload documentation into the case management system and relevant databases;
  • Review and process raw data and intake information, accurately inputting it into case management systems and accessible formats;
  • Update database and document management systems with new information and documents as they come in;
  • Check records for accuracy by referencing multiple sources of information and conducting research to complete records;
  • Provide input to supervisor and team leaders in the development and implementation of data management processes;
  • Participate in regular staff meetings and supervision, attending training for further skills development as required;
  • Provide input with supervisor and team leaders to identify and recommend process improvements for program documentation and organization; and
  • Additional clerical / administrative duties including filing, sorting, and organizing paperwork;

A successful candidate will have :

  • A minimum of 2-4 years administrative and / or office admin work experience; preferably in a non-profit.
  • A preference for a candidate with prior Housing, Landlord & Tenant, and / or shelter experience;
  • Excellent interpersonal skills and demonstrated ability to effectively communicate with individuals from diverse backgrounds, local organizations and people in crisis;
  • Must have excellent verbal and writing communication skills that can be executed in formal correspondence and oral presentations;
  • Ability to maintain confidentiality and neutrality in handling proprietary and client information;
  • Strong reporting and record keeping skills, including the ability to synthesize lots of quantifiable and qualitative data into clear, plain language and readable charts and checklists;
  • Dependability, good time management and strong organizational skills and attentive to detail;
  • Bi-lingual in English / Spanish preferred;
  • Must be able to work strategically within a team structure as well as independently, multi-task and work under tight deadlines;
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), client management systems. Familiarity with Microsoft Dynamics, Notion, SharePoint, and Legal Server are a plus;
  • Demonstrated ability to interact with persons of different races, ethnicities, ages, and sexual orientations in a multicultural environment;

  • Compensation & Benefits

    Annual salary is $54-60,000 depending on years of experience. Great benefits package such as, employer paid health insurance; 27 days annual vacation, employer 4% contribution to 401(k); and paid parental leave. This is a hybrid in-office / remote work position.
