OFFICE AND PERMIT ADMINISTRATOR
The Office and Permit Administrator works closely with Construction Project Management teams and other Brooks and Freund staff to manage construction projects and overall office administration. This is a fast-paced position that requires the ability to effectively and efficiently multi-task.
This job requires collaboration, communications, and a sense of urgency. There is a strong demand for high quality, organized and repeatable results.
KEY RESPONSIBILITIES/ACCOUNTABILITIES
Assists Team Members with the following:
- Responsible for construction administration:
- Track all submittals and RFI’s.
- Permitting
- Work with PM’s, superintendents, and subcontractors in problem resolution.
- Obtain prices from Subcontractors; assist as needed with Change Orders.
- Create and distribute correspondence (letters, memos, faxes, etc.)
- Arrange job site meetings.
- Continual communication with all parties (PM’s, Superintendents, Subcontractors) for the purpose of dissemination of construction-related information.
- Responsible for close-out and warranty documents.
- Order supplies/signs for Superintendents and project sites.
- PDF job site pictures as required.
- IT support:
- Troubleshooting basic computer problems, installing software updates, managing user accounts, resetting passwords, providing technical assistance to staff.
- Monitoring network connectivity, managing network access, troubleshooting network issues (depending on expertise level).
- Maintaining and updating office hardware like printers, scanners, computers, ensuring proper functionality.
- Office Administration:
- Order and procure office supplies as needed.
- Answer phones as required.
QUALIFICATIONS
- Commercial construction, submittals and RFI experience is a plus.
- Proficient in Microsoft, Teams, and a background in Procore is a plus.
- Experience with Information Systems and Applications.
- Excellent verbal and written communication skills
- Operates with a sense of urgency and a focus on quality.
Requirements
- Proven experience in construction administration or a related field is preferred.
- Familiarity with construction management software (e.g., ProCore, Prolog) is highly desirable.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Strong organizational skills with attention to detail in managing multiple projects simultaneously.
- Effective communication skills, both verbal and written, for collaboration with various stakeholders.
- Ability to work independently as well as part of a team in a fast-paced environment.
Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
