Job Overview:
We are seeking a highly organized and detail-oriented Director of Events and Rentals to oversee daily administrative operations, support event coordination, and manage client relations. This role is critical in ensuring smooth business operations, efficient scheduling, and seamless communication between our clients, vendors, and team members.
Key Responsibilities:
Administrative & Office Management:
- Oversee daily office operations, including scheduling, phone/email correspondence, and filing.
- Maintain office supplies, rental inventory records, and client documentation.
- Manage invoices, contracts, and payment processing.
- Assist in the coordination of event logistics, including rental deliveries and returns.
- Organize and attend all weekly staff meetings.
- Perform all tasks needed by administration as they come based on the situation at hand.
Client Relations & Communication:
- Serve as the primary point of contact for client inquiries and follow-ups.
- Coordinate consultations, meetings, and venue walk-throughs for clients and event planners.
- Maintain a positive and professional relationship with clients, vendors, and team members.
Event & Rental Coordination Support:
- Assist in scheduling and tracking event rental reservations.
- Communicate event timelines and rental logistics with the team.
- Ensure accurate order processing and assist with event execution when needed.
Marketing & Social Media Support:
- Assist with social media content creation and scheduling.
- Update the company website and marketing materials as needed.
- Engage with clients via social media and online inquiries.
Qualifications:
- Prior experience in office management, administrative support, or event planning.
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office, Google Suite, and event planning software.
- Ability to multitask and manage time effectively in a fast-paced environment.
- Familiarity with event rentals, weddings, or hospitality is a plus.
