Front Desk Operations Specialist ensures all front desk operational tasks are completed timely and accurately prior to end of day. Collect accurate and timely time of service payments and all outstanding patient balances. Ensure positive customer service interaction with internal and external customers.
Essential Duties:
- Greet all Brookshire patients and visitors with a warm welcome to include a smile and assist with all inquiries
- Receive all deliveries. Inform MA team of deliveries received for clinical operations
- Diligent manage all daily appointment scheduling to include all appointment types, communicate to clinical team & front desk lead any changes in schedule, cancellations, reschedules
- Adhere to Brookshire policy to not turn patients away. Seek assistance to accommodate all patients especially sick visit appointments
- Responsible for an efficient EHR check in/check out process to include all required paperwork
- Responsible for new patient registration process to include required to collect all external medical records prior to appointment
- All next day appointments must be confirmed prior to end of current day to avoid no shows/cancellations
- Must scan all insurance cards into EHR. All insurance verification, eligibility and benefits must be completed prior to scheduled appointments to include same day appointments
- Patient benefits must align with appointment type, vaccines and injection coverage and plan limitations
- Ensure patient’s age aligns with scheduled well visit type and meet payer guidelines to ensure reimbursements
- Responsible for all front end revenue cycle collections to include unpaid balances and time of service payments. Always collect according to patient benefits and make appropriate payment arrangements for outstanding balances.
- All Self-Pay patients must pay at check in process. Inform all self-pay patients at the time of scheduling appointments that payment is required at appointment check in
- Ensure accuracy of patient demographics in EHR system
- Work all assigned work queues daily to completion prior to end of day
- Respond appropriately to all patient portal messages prior to end of day
- Answer all incoming calls promptly and timely to avoid missed calls. Always use Brookshire opening and closing greetings. Must return all missed calls and retrieve all voicemails prior to end of day
- Responsible for non-clinical inventory to ensure availability of supplies
- Provide administrative support to other teams, i.e. providers, clinical team, Practice Administrator
- Finalize all patient payments posting in EHR and reconciliation of payments for bank deposits at the end of each day
- Monitor and respond to assigned emails, emails received via company email and respond appropriately
- Process medical records request
- Ensure all faxes are processed timely and all required documents are uploaded into EHR
- Provide coverage for medical assistant when required
- Perform administrative tasks as assigned by Practice Administrator
Qualifications:
- Patient access service experience; insurance verification, benefits, referrals and prior authorizations
- Patient financial counseling and time of service payment collections
- Excellent interpersonal, organizational and time management skills
- Great written, oral and reading communication skills. Customer service oriented
- Enjoy working in a fast-paced environment and be able to thrive under pressure, while remaining organized, resilient, professional and courteous
- The ability to work and navigate within a complex matrixed organization
Requirements:
- High School Diploma
- 3-5 years’ experience with medical clinic environment with working knowledge of front desk operations
- Patient scheduling and appointment management
- Payment posting experience
- Strong understanding of EHR
- Customer service oriented
- Effective decision-making skills and problem-solving skills
- Deep understanding of insurance verification, eligibility, benefits and referrals & time of service collections
- Microsoft Office skills required; basic computer skills
Job Type: Full-time
Pay: $15.00 - $19.00 per hour
Expected hours: 40 per week
