What are the responsibilities and job description for the Patient Scheduler position at Brown Medicine?
SUMMARY:
Under the general supervision of the Practice Manager, the scheduler will be responsible for scheduling providers, releasing the schedules, changing records, recording all custom hours, and compiling reporting information.
This is a full-time, 40 hours/week position (8:00AM-4:30PM Monday-Friday). The role will support the Endocrinology division at 375 Wampanoag Trail in East Providence.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Ensure accurate and timely scheduling, and rescheduling new, follow-up, urgent, and routine appointments.
- Schedule appointments accurately, maximizing providers’ time and making sure that the patient is placed in the appropriate appointment slot for their medical needs or request.
- Assists with template build/changes.
- Handle incoming patient telephone calls, schedule appointments, and provide accurate information to patients
- Redirect calls to appropriate individuals
- Enters and edits patient information into the electronic medical record ensuring accuracy of demographic and clinical information.
- Answers telephone calls, routes calls and/or takes messages, initiates telephone calls as needed.
- Inform Practice Manager of discrepancies as appropriate.
- Screens patient, answers questions and gives routine instructions to patients regarding upcoming visit preparations.
- Monitors, tracks and manages no shows and cancellations.
- Observe customer service standards at all times in communicating with patients, health care team members and all other external partners/vendors.
KNOWLEDGE, SKILLS & ABILITIES REQUIRED:
- 1-2 years of related scheduling experience; healthcare experience preferred.
- Very strong computer skills and excellent knowledge of Excel are required.
- Excellent quantitative and problem-solving skills.
- Strong interpersonal skills required.
- Must submit a background release form and demonstrate proof of being free from disqualifying information.
- Ability to handle confidential information in a professional manner.
- To perform this job successfully, the incumbent will possess the abilities or aptitudes to perform each duty proficiently.
EDUCATION AND EXPERIENCE:
- High school graduate plus one-year formal training or equivalent
- Typing/data entry required
- Knowledge of medical terminology required
- Two years’ clerical experience preferably in health care environment
- Requires standing bending and sitting
- Sufficient visual acuity and manual dexterity to use computer keyboard and other common office equipment
