Job Summary:

We are seeking a detail-oriented and experienced Accounts Payable/Accounts Receivable Clerk to join our accounting team. This position demands reliable attendance and a strong commitment to being present and productive during work hours. This role requires strong analytical skills and proficiency in accounting QuickBooks, as well as excellent communication abilities to liaise with clients and internal departments.

Duties:

  • Answer phone calls and welcome visitors.

- Gather detailed information from customers regarding their questions/concerns and direct phone calls and emails to appropriate parties.

-Book jobs for service.

  • Process and record incoming payments accurately and efficiently.
  • Process and record incoming vendor invoices accurately and efficiently.
  • Maintain and reconcile accounts receivable by ledgers to ensure accuracy.
  • Perform bank reconciliations on a daily and monthly basis.
  • Prepare and send out invoices, past due notices, and lien notices to clients in a timely manner.
  • Call Customers to follow up on payments and past due invoices.
  • Work with customers to set up payment plans, and ensure those payments are made monthly.
  • Collaborate with the Controller to resolve discrepancies.
  • Process employee expense reports, ensuring compliance with company policies.
  • Maintain accurate and up-to-date vendor and customer records.

Qualifications:

  • Proven experience in accounts payable & receivable or related financial roles is preferred.
  • Familiarity with accounts payable, collections, and Nevada Mechanics Lien processes is a plus.
  • Vast knowledge of general office duties, basic filing procedures, processing mail, and ordering office supplies.
  • Self-starter who can retain information and company procedures to ensure accuracy of work completed.
  • Knowledge of requesting insurance certificates from outside agencies.
  • Ability to multitask (specifically assisting in answering 6-line phone system, routing calls to correct department, updating customer contact info, and booking jobs)
  • Ability to perform bank reconciliation on a daily and monthly basis.
  • High degree of accuracy and attention to detail.
  • Strong understanding of general ledger reconciliation principles.
  • Proficient in using QuickBooks Desktop.
  • Excellent attention to detail and organizational skills.
  • Strong analytical skills with the ability to identify discrepancies and resolve issues effectively and independently.
  • Good communication skills for interacting with clients and team members.
  • Ability to work independently as well as part of a team.
  • Customer service orientation and negotiation skills.

Experience:

  • Bookkeeping: 2 year (Required)
  • QuickBooks: 2 year (Required)

Job Type: Full-time

Pay: $18.00 - $25.00 per hour

Expected hours: 40 per week
