Superintendent Secretary/Administrative Assistant - Bryan City Schools Bryan City Schools is in search of an Administrative Assistant to the Superintendent. Candidates must be highly motivated and seeking a career role that serves to enhance the district, and community, at large. The Superintendent Secretary will play a key role in supporting the Superintendent by providing high-level administrative assistance, contributing to the efficient and seamless operations of the school district office. This rewarding position offers the opportunity to handle confidential information with care, engage in positive communication with staff, parents, and community members, and manage a variety of important administrative tasks. Location: Central Office (Field House) - Bryan City Schools Workdays: 224 scheduled 15 depending on need Hours Per Day: 8 hours Salary/Wage: Will commensurate based upon experience and/or qualifications Job Classification: Non-Certificated Administrative Asst - Level III Administrative Group Reports To: Superintendent Reason for Vacancy: Retirement Start Date: August 1, 2025 Necessary Skill Sets: Strong Public Relations Ability to direct/coordinate: phone calls, visitors, community partners, board functions, office procedures, media, staff/employee relations, administrative calendars Ability to Utilize Software/Technology Track/Input/Verify/Maintain Data and Information and Databases Create and Maintain Agendas Board/Administrative Records and Filings Contractual Oversight and Implementation Accurate Reporting and Deadline Oversight Knowledge of Employee Licensure/Certification Excellent written and verbal communication skills Strong organizational and time management skills Ability to manage multiple tasks and work under pressure Attention to detail and strong problem-solving abilities Ability to maintain confidentiality and handle sensitive information Key Responsibilities: Provide direct administrative support to the Superintendent, including managing calendars, scheduling meetings, and maintaining accurate records. Prepare reports, presentations, memos, and other documents as needed. Coordinate communication between the Superintendent and district staff, school board, parents, and the community. Screen and manage phone calls, emails, and correspondence on behalf of the Superintendent and Central Office. Assist in organizing school board meetings, preparing agendas, and ensuring all necessary materials are distributed. Maintain and organize the Superintendent’s files, records, and documentation, ensuring confidentiality at all times. Assist in budget preparation and monitor expenditures Coordinate travel arrangements and prepare expense reports for the Superintendent. Collaborate with other administrative staff to ensure smooth office operations. Handle inquiries and resolve issues that arise in a timely and professional manner. Qualifications: Education: High school diploma or equivalent required; associate’s or bachelor’s degree preferred. Experience: 3-5 years of administrative assistant experience preferred in an educational setting or school district.
