The ideal candidate will be bilingual (English/Spanish), confident in translating, and proficient in Microsoft Excel.

TITLE:            Human Resources Information Systems (HRIS) Technician & Receptionist

 

EMPLOYMENT TERMS:     1.0 FTE/12-month position

 

SALARY CLASSIFICATION:  Classified

 

GENERAL STATEMENT of RESPONSIBILITIES:

Under basic supervision, the Human Resources Information Systems (HRIS) Technician will be responsible for managing all customers (both internal and external) who visit the administrative office. This includes providing information and directing customers to other appropriate staff members. It is further the responsibility of this individual to perform administrative and technical duties in the processing of Human Resources (HR) forms and documents. All responsibilities will include maintaining a high level of confidentiality and standard professionalism for the administrative offices and assuring smooth and efficient operation of the HR department.

 

PRINCIPLE DUTIES:

  • General front office coverage; answers phones and greets public; supports the relationship between the Buckeye Union High School District and the general public by demonstrating courteous and cooperative behavior when interacting with visitors and district staff:
    • Is the designated person to answer the district telecommuncation system for the purpose of screening calls to transfer them to the appropriate personnel, or taking messages.
    • Greets visitors in a friendly and genuine manner.
    • Evaluates situations for the purpose of directing to the appropriate personnel for resolution.
    • Responds to inquiries of staff, the public, parents and/or students for the purpose of providing information and/or direction as may be required.
  • Composes HR correspondance, memos, and reports as required.
  • Translates for the HR department, as needed, for new hire appointments.
  • Performs a variety of administrative and technical functions in the HR work group; processes transactional information, and performs cerlical and record keeping duties; performs data entry functions related to employee tracking, records maintenance, and database management.
  • Processes routine human resources information related to employment verification and customer service requests; maintains absolute confidentiality of work-related issues, client records, and district information.
  • Completes human resources and employee related reports through School Enterprise Resource Planning (ERP) Pro (Infinite Visions/Tyler Technologies) as required or requested.
  • Assists in processing Personnel Action Requests (PAR); reviews forms to ensure accuracy; authorizes payroll to initiate compensation actions through completing PARs to meet payroll deadlines.
  • Maintains the accuracy of HR databases (i.e: School ERP Pro; PowerSchools) and websites to include current job postings and employment records.
  • Prepares human resources purchase orders through School ERP Pro, including maintaining inventory of office supplies
  • Assists the HR Director with scheduling, responding to requests, and special projects as assigned.
  • Assists in creating identification badges for employees.
  • Assists in updating monthly Governing Board report.
  • Cross trains in all technical HR functions.
  • Performs related duties as the position evolves in a growing district.
  • Performs other related duties as assigned; performs duties in accordance with district policy and procedures, and within scope of authority.

 

QUALIFICATIONS:

  • Bilingual (English/Spanish).
  • Must possess high school diploma or equivalent.
  • Valid DPS IVP Fingerprint Clearance Card.
  • Proficient knowledge of Microsoft Excel, the use of basic formulas and data organization.
  • Excellent ability to pay attention to detail.
  • Ability to type and enter data with speed and accuracy; at/or above 60wpm preferred.
  • One to three years’ secretarial experience, preferably in HR setting.
  • Thorough knowledge in the use of standard office machines and computers.
  • Ability to communicate and work well with staff and administrators.
  • Ability to deal effectively with matters of confidentiality.

 

OCCUPATIONAL CONDITION:

Low risk - Work is routinely performed in indoor environments, including exposure to noise and being on your feet for extended periods of time. May require standing in inclement weather including summer heat.

            The applicant for this position is required to:

    • Use hands to finger, handle, or feel objects, tools and/or controls; and reach with hands and arms on a regular basis.
    • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

The evaluation is done by the HR Director.

 

SUPERVISION RECEIVED:

The HRIS Technician & Receptionist position reports directly to the HR Director.
