Warranty Manager
We are seeking a detail-oriented and experienced Warranty Manager (WM) to lead our Warranty Department and drive overall performance in delivering top-quality service. In this critical role, you will oversee the administration of warranty claims, ensure compliance with company policies, industry standards, and manufacturer guidelines, and take ultimate responsibility for homeowner satisfaction.
The ideal candidate will possess strong analytical skills, a proactive approach to problem-solving, and the ability to clearly communicate warranty processes to homeowners while working closely with them to evaluate repair issues and determine coverage. The WM will also play a key role in staff training and development, providing feedback to refine processes, policies, and procedures to enhance operational efficiency.
Primary Duties:
- Handle emergency, 30-day visit, and one-year warranty items covered by our Home Builder Warranty.
- Read and understand warranty standards, scopes of work, and contracts to know what is warrantable and determine responsibility for issues.
- Manage established warranty service processes and systems to ensure timely completion of customer-submitted warranty service requests.
- Respond to all warranty service requests submitted by customers via the BuilderTrend portal.
- Contact and schedule appointments with customers to review submitted service requests.
- Generate work orders and enter warranty data primarily using BuilderTrend in a timely manner.
- Coordinate and schedule subcontractors and/or material deliveries to complete repairs covered under warranty.
- Follow up with subcontractors, inspect, and ensure timely completion of all repairs.
- Instruct customers on how to maintain their homes and communicate what items are not warrantable in a professional manner.
- The ability to say “no” and overcome objections in a professional manner.
- Monitor, maintain, review, and approve warranty invoices.
- Provide training and guidance to punch team members to maintain high standards of workmanship and efficiency.
- Manage the punch team for home deliveries, ensuring all final touch-ups and repairs are completed before the homeowner takes possession of the property.
The Warranty Manager Works Directly With:
- Sales Agents: Collaborate to address homeowner needs and concerns, ensuring a smooth warranty process.
- Construction Managers: Work together to evaluate repair issues and determine warranty coverage.
- Subcontractors: Coordinate and schedule for repairs, follow up on work completion, and maintain professional relationships.
- Suppliers: Ensure timely delivery of materials needed for warranty repairs.
- Homeowners: Communicate warranty processes, evaluate repair issues, and provide instructions on home maintenance.
Job Qualifications:
- Valid driver’s license with a safe driving record.
- Must be proficient in Microsoft Office Suite and BuilderTrend.
- Ability to interpret plans, specs, work orders, and contracts.
- Must be able to diplomatically and effectively handle stressful customer situations.
- Must be proactive in following up with subcontractors and homeowners.
- Effective analytical and problem-solving skills, as well as the ability to think logically and analytically.
- Excellent leadership and negotiating skills.
- Ability to work with minimal supervision.
- Ability to prioritize and organize tasks and time while maintaining a detail-oriented focus.
- and/or warranty experience.
- Excellent written and oral communication skills.
- The ability to paint, caulk, perform minor drywall touch up, fix floor squeaks, adjust cabinet doors, perform minor finish carpentry task a plus.
Physical Requirements:
- Position involves sitting, standing and/or movement, the ability to exert minimal force of up to 50 pounds and occasionally exert up to 80 pounds of minimal force to carry, lift, push, pull and otherwise move objects. Must be able to climb ladders, scaffolding and other means to reach and observe all areas of building.
