Your Role at a Glance
This position blends administrative management with legal assistant responsibilities and general support across the firm. You'll be the person who ensures day-to-day operations run seamlessly while also stepping in to assist attorneys and paralegals when needed.
Key Responsibilities
Administrative Management
- Open and prepare the office each morning
- Order and maintain office, cleaning, and kitchen supplies
- Manage day-to-day operations: mail, phones, copier, alarm, A/C, lights, and more
- Schedule and coordinate holiday closures, time changes, and routine maintenance
- Coordinate vendors and handle property/building issues for both the firm and the condo association
- Oversee monthly real estate escrow account reconciliation and update the Trust Account Plan annually
- Organize monthly birthday and anniversary cards, and assist with holiday decorations
- Maintain compliance items such as PCI certification and W-9 forms
- Greet clients, answer phones, and manage appointment scheduling
- Witness and notarize legal documents
- Provide backup support to paralegals during absences
- Assist with document preparation—typing, revising, scanning, and printing legal materials
- Open and maintain client files in Time Matters
- Manage and organize attorney emails and document correspondence
- Provide occasional tech support and assist attorneys working remotely
- Handle general tasks to keep the office efficient, clean, and client-ready
What We're Looking For
- Experience in legal administration, legal secretary work, or legal office management
- A high level of organization, attention to detail, and follow-through
- A warm, professional presence with excellent client service and communication skills
- Ability to manage multiple priorities and work independently
- Comfort with basic office technology and troubleshooting
- Notary Public (or willingness to become one)
- Familiarity with estate planning, real estate, or small law firm operations is a plus
- Compensation: $50,000-$60,000
