Client Services Paralegal - Estate Planning & Probate

Coastal Probate, Trust & Elder Law - Pensacola, FL

Full-Time or Part-Time | In-Person (Thursdays required) | Some Hybrid Flexibility

Are you an experienced probate paralegal who also enjoys client interaction, intake coordination, and supporting a small, growing team? If you're a warm, flexible professional who thrives in a role that combines legal knowledge with people skills, this may be the perfect fit.

At Coastal Probate, Trust & Elder Law, we guide families through estate planning, probate, Medicaid planning, and elder law matters with compassion and care. As we continue to grow, we're seeking a versatile and proactive team member to take on a hybrid role combining paralegal, client intake, and administrative support responsibilities.

About The Role

This is an in-person position, with flexibility for either full-time or part-time hours depending on your availability. Some hybrid work may be possible for the right candidate, but in-person availability on Thursdays is required for client document signings.

While we handle only a few probate cases per year, we're looking for someone with probate experience who can run point on those matters independently—and help us grow this part of the practice. The bulk of your work will center around client intake, estate planning support, and office administration.

We're looking for a team player who is organized, reliable, and ready to wear multiple hats as our firm grows.

Key Responsibilities

  • Serve as the first point of contact for potential new clients and guide them through the intake process
  • Collect and organize information for all new matters (estate planning, Medicaid, and probate)
  • Draft and prepare estate planning documents under attorney supervision
  • Handle light case management and administrative tasks throughout the client lifecycle
  • Manage a small number of probate cases each year from intake to close
  • Be present in the office on Thursdays for in-person signings and client meetings
  • Support attorneys with Medicaid and estate planning files, timelines, and tasks
  • Pitch in with office operations and administrative projects as needed

Requirements

Who We're Looking For

  • 2 years of probate paralegal experience required
  • Experience with estate planning, Medicaid, or elder law is strongly preferred
  • Excellent interpersonal skills—you're warm, clear, and professional with clients
  • Organized, self-directed, and flexible—you thrive in a growing firm environment
  • Proficient with Microsoft Office; Clio experience a plus

Why Join Us?

  • Meaningful Work - Help families navigate complex legal issues with clarity and care
  • Flexible Hours - Choose full-time or part-time, depending on your availability
  • Positive Team Culture - Join a supportive and collaborative firm with a growth mindset
  • Hybrid Option - In-person presence on Thursdays required; hybrid work may be available for the right person

Benefits

Compensation:

Hourly rate based on experience and level of independence.

Full-time employee benefits include:

  • 401(k) with employer match
  • Health, dental, and vision insurance
  • Paid time off and sick leave
  • Ongoing professional development opportunities
