Job Summary:
Building African American Minds, Inc. (BAAM) is seeking a highly organized and detail-oriented Facilities and Program Support Coordinator with a primary focus on Event Coordination. This role will be responsible for overseeing the planning, setup coordination, and logistical management of our various programs, workshops, and fundraising events. The Coordinator will ensure all logistical aspects of our events run smoothly and contribute to a positive and engaging experience for participants and stakeholders. This role requires strong communication, problem-solving skills, and the ability to manage multiple tasks simultaneously.
Responsibilities:
- Venue Management and Setup Coordination:
- Plan and coordinate the logistical setup of event venues, ensuring they align with the event's objectives and budget.
- Develop and communicate detailed venue setup plans, including seating arrangements, staging, and vendor placement.
- Coordinate with internal teams and external vendors to ensure timely and accurate venue preparation.
- Oversee the arrangement of tables, chairs, and seating according to the event plan.
- Coordinate the setup of audio-visual equipment (microphones, projectors, screens, speakers) with technical support as needed.
- Ensure appropriate lighting is arranged to enhance the event atmosphere.
- Plan and oversee the preparation of spaces for catering, including buffet tables and food stations.
- Prioritize and ensure clear and accessible emergency exits and pathways within event venues.
- Equipment and Technical Coordination:
- Manage the inventory and coordination of necessary event equipment, including furniture, signage, and technical gear.
- Coordinate the movement of furniture and equipment (chairs, tables, mats) as required for event setups and breakdowns.
- Liaise with technical staff or operate basic sound systems and microphones as needed during events.
- Proactively ensure all technical equipment is tested and functioning correctly before events commence.
- Oversee the setup and management of registration tables or help desks.
- Event Planning and Coordinator Support:
- Collaborate closely with event organizers and program managers to understand event goals and logistical requirements.
- Translate event visions into practical setup plans and timelines.
- Communicate proactively with event organizers to ensure the setup aligns with their expectations and make necessary adjustments.
- Coordinate with volunteers or support staff to execute setup plans efficiently.
- Assist with the coordination of participant/guest arrivals, registration, and seating arrangements to ensure a seamless experience.
- Post-Event Logistics and Breakdown:
- Oversee the efficient and thorough breakdown of event venues following the conclusion of events.
- Coordinate cleanup efforts, ensuring the venue is left in a satisfactory condition.
- Direct the disassembly of tables, chairs, and technical equipment.
- Manage the return of all equipment and furniture to their designated storage locations.
- Conduct post-event evaluations of logistical aspects and identify areas for improvement.
Qualifications:
- Proven experience in event coordination, logistics, or a related field.
- Strong organizational and project management skills with the ability to manage multiple events simultaneously.
- Excellent communication (written and verbal) and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
