Job Title : Mailroom / Purchasing Associate
Labor Grade : 4

Reports To : Manager, Facilities
FLSA Status : Local 153 - Non-Exempt
Salary Range : As established by contract
Summary : Under the supervision of the Facilities Manager, the Mailroom / Purchasing Associate (MPA) is responsible for maintaining all mailroom supplies. The MPA orders, purchases and dispatches delivered goods, checking quality, quantity, and price. In addition, the MPA supports mailroom operations by ensuring accurate, on-time delivery of company mail.
Essential Duties and Responsibilities
- Pickup and distribution of all interoffice and outgoing mail.
- Receive / log all messenger packages and special mail, i.e. certified, express, UPS, and overnight mail using the Arrival Machine Log system.
- Opens, sorts, and preps daily mail for digital scanning.
- Deliver mail / packages to all Funds / SEIU locations.
- Picks-up and meters outgoing mail from departments.
- Folds and seals printed materials using the Relay / Envelop machine.
- Distributes incoming mail using company scanning software; routing each piece according to the department.
- Process outgoing UPS mail through CampusShip program for the Funds.
- Covers the afternoon post office / UPS run when needed.
- Checks the quantity and quality of all goods and merchandise received before delivering to departments.
- Conducts copy jobs for departments upon request.
- Process all outgoing mail through Pitney Bowes mail machine.
- Deliver mailing supplied throughout the Funds and Union upon request.
- Conducts special mass mailings, packaging communication materials to members.
- Responds to all mailroom related inquiries.
- Manage internal KTA process including validating a high volume of documents, utilizing search methods to locate member records and perform additional research in V3 or Dynamics as necessary
- Maintains inventory of all supplies needed for mailings (stationary, shipping materials, USPS etc.). (backup)
- Place daily calls for messenger service pick-up for the Funds. (backup)
- Performs any other related and / or pertinent work or duties as requested / assigned by the Facilities Manager.
Qualifications : To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and / or ability required. Candidates must also be able to work the 9am to 5pm shift.

Education and / or Experience : High School Diploma, GED or equivalent experience.
Language Skills : Speak, read, write and understand English, bi-lingual a plus.
