We are seeking a dedicated and skilled Office Administrative Assistant - Level II to join our team. This position will provide vital administrative support to our office operations, assisting with a wide range of tasks to ensure smooth day-to-day functioning. The successful candidate will be a proactive, detail-oriented professional who is eager to take on a variety of responsibilities and contribute to our growing team.
Key Responsibilities:
- Perform general administrative duties, including various daily data entry tasks, answering phones, and filing
- Assist with the preparation of reports and documentation.
- Manage multiple priorities and projects, often under tight deadlines.
- Coordinate internal and external communications with a high level of professionalism.
- Organize and maintain digital and physical filing systems for easy access to important documents.
- Managing office schedules, appointments, and correspondence.
- Assist with bookkeeping tasks, such as collections, billing, and account reconciliations
- Participate in office-wide projects and assist with event planning and logistics.
Qualifications:
- High school diploma or equivalent
- 2 years of administrative experience or relevant office support experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Exceptional organizational and time-management skills.
- Ability to prioritize tasks and manage multiple deadlines efficiently.
- Detail-oriented with a proactive attitude.
Preferred Skills:
- Previous experience in a construction industry
- Bilingual in Spanish/English
- Experience in QuickBooks
