ROLE OVERVIEW
The Receptionist and Customer Support Specialist is the face of Bullfrog Spas in our Herriman, Utah headquarters. This position holds a pivotal role in providing our in-office visitors with a warm welcome and key information. In addition, this multi-functional role helps manage online and other customer interactions by providing exceptional customer support and embodying our brand values in every interaction. This role is instrumental in ensuring a seamless flow of communication between visitors, customers, and our internal operations within our organization. This reception and customer support role is an opportunity that can lead to future support roles within the Customer Experience organization and/or growth opportunities elsewhere in the business.
RESPONSIBILITIES
- Welcome and Assist: Serve as the warm and welcoming ambassador of Bullfrog Spas at our Herriman, Utah offices, greeting visitors with a smile, connecting them with the appropriate individual or directing them efficiently to their destinations, notating messages promptly, and ensuring no query or concern goes unanswered.
- Customer Engagement: Processing and responding to customer inquiries via email, ensuring our customers feel supported and valued. This includes helping direct customer requests to the appropriate parties when necessary.
- Information Hub: Be the go-to source of information for callers, offering details about our company, directions, and essential contacts with grace and clarity.
- Efficient Organizer: Handle incoming mail, faxes, and publications with precision, ensuring everything reaches the right hands promptly. Assist in maintaining a well-stocked and organized office environment.
- Cultural Support: Play a role in welcoming new team members, guiding them to orientations, and fostering a sense of belonging within our Bullfrog Spas family.
- Administrative Assistance: Offer comprehensive support in various clerical tasks, from printing manuals to filing documents, ensuring smooth operations across departments.
REQUIREMENTS
- Educated, Experienced, and Capable: Possess at least a high school diploma or equivalent, along with 6 months to 1 year of relevant experience. A combination of education, experience, or other demonstrated capabilities is valued.
- Organizational Wizard: Demonstrate strong organizational skills, ensuring every task is handled efficiently and with attention to detail.
- Communication Maestro: Excel in verbal and written communication, with the ability to convey information effectively and professionally.
- People Person: Showcase exceptional interpersonal skills, fostering positive connections with colleagues, customers, and visitors alike.
- Independent and Team Player: Navigate tasks independently while remaining open to guidance and collaboration within the administrative team.
- Tech Savvy: Familiarity with Microsoft Office suite (Word, Excel, and Outlook) and the ability to work within our customer experience ticket system (HubSpot) is essential for seamless integration into our digital workflow.

- Bilingual Bonus: Fluency in Spanish is preferred, expanding our ability to serve a diverse customer and employee base.
