Position Overview:
BullPen Management is seeking a detail-oriented and highly organized Part-Time Real Estate Administrator & Transaction Coordinator to join our dynamic team. In this role, you will manage the administrative side of real estate transactions from contract to close, ensuring a seamless process for our clients and agents. This position requires a proactive professional with exceptional communication and problem-solving skills who thrives in a fast-paced environment.
Key Responsibilities
Transaction Management:
- Assist in overseeing real estate transaction activities from contract acceptance to closing.
- Ensure all documentation is accurate, complete, and submitted within required deadlines.
- Monitor and manage contract timelines, including inspection periods, contingencies, and closing dates.
Client & Agent Support:
- Act as a point of contact for clients, agents, title companies, lenders, and other parties involved.
- Provide timely updates to all stakeholders on transaction progress.
- Address and resolve any issues or challenges during the process.
Compliance & Record keeping:
- Ensure adherence to local, state, and federal real estate regulations.
- Maintain organized, accurate transaction files for audits and recordkeeping.
Technology & Tools:
- Use real estate transaction management platforms
- Stay proficient in relevant technology to streamline digital document handling.
Administrative Support:
- Prepare and deliver necessary documents to clients.
- Schedule inspections, appraisals, and closing appointments.
- Coordinate post-closing activities, including file storage and client follow-up.
Qualifications:
- Proven experience as a Real Estate Transaction Coordinator, Administrator, or similar role in real estate or a service-based industry.
- Strong understanding of real estate contracts, timelines, and compliance requirements.
- Excellent organizational, multitasking, and problem-solving abilities.
- Outstanding written and verbal communication skills.
- Proficiency in office software (Google Workspace, Microsoft Office Suite) and transaction management platforms.
- Ability to work independently and collaboratively in a high-pressure environment.
- Real estate license preferred
