Administrative Assistant- Accounting Dept.
We are seeking a detail-oriented Administrative Assistant to support daily operations, invoicing, customer communications, and project coordination. This role requires strong administrative skills, organization, and the ability to manage multiple tasks efficiently.
Key Responsibilities of the Administrative Assistant :
- Manage invoicing, including deposit and dropship invoices
- Maintain and update AR records, ensuring accuracy and timely follow-ups
- Respond to customer and internal inquiries, providing prompt and professional support
- Organize and maintain digital and physical files using systems like FieldPoint and SharePoint
- Assist with procurement by creating purchase orders and tracking project materials
- Oversee vendor relationships, including RMAs and warranty processing
- Coordinate scheduling, track deadlines, and update project documentation
- Support the Accounting Manager with administrative and financial tasks as needed
- Order supplies and equipment for the service team and ensure timely deliveries
- Generate and distribute reports, maintain internal databases, and assist with compliance requirements
