We are seeking a talented and driven individual for a key role within a dynamic company in the construction industry. The ideal candidate will have a strong understanding of how finance impacts the overall success of a business and be ready to contribute to strategic decision-making as they develop within the organization.


Reports to: Chief Operations Officer

Job Summary: This role is responsible for general administrative tasks within the office environment. Key responsibilities include reviewing and organizing documentation, processing employee timecards, managing the payroll process, handling billing procedures, and providing essential backup support for the day-to-day operations. The ideal candidate will be detail-oriented, organized, and capable of multitasking in a dynamic work environment to achieve a high level of productivity within the company.


Responsibilities and Duties:

1. Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including official correspondence, and memos.

2. Reviewing and verifying the accuracy and completeness of various documents.

3. Overseeing daily office activities, including managing schedules, supplies, and equipment controls.

4. Processing employee timecards, calculating hours, and verifying overtime as needed.

5. Performing billing tasks such as invoicing, monitoring accounts payable, and following up on outstanding balances.

6. Assisting in the administration of employee benefits programs, including health insurance and retirement plans.

7. Maintaining digital office files, including job files, vendor files, and other files related to the company’s operations.

8. Performing other relevant duties when needed.


Qualifications:

  • 2 or more years of office administration and accounting experience.
  • Proficient in a variety of computer software applications including Microsoft Office Suite.
  • Comfortable handling confidential information.
  • Excellent English written and verbal communication skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • Excellent attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Associate or bachelor's degree in business administration or related field is a plus.


Physical & Psychological Working Conditions/Requirements:

  • The work is performed in an office environment which requires long periods of sitting and use of computer screens. Minimal lifting, bending, and crouching required.
  • Deadline pressures, stress of multi-tasking, communicating and interacting diplomatically with clients, supervisors and co-workers.
  • Respect, honesty and sound work ethics are important attributes.
  • Accuracy, attention to detail and focus on day-to-day activities and interactions required.
  • Professional demeanor at all times when dealing with clients, employees and others.
