Job Overview:
We are seeking a highly organized and detail-oriented Administrative Accounting Assistant to join our team. This role will focus on accounting support while providing general administrative assistance.
Key Responsibilities:
Accounting Support:
- Assist in maintaining accurate financial records and enter data into accounting software.
- Support accounts payable and receivable, ensuring timely payments and collections.
- Support the preparation of financial reports and assist with audits.
- Provide light billing support, including creating and sending invoices to clients.
Administrative Support:
- Provide general administrative support across various office functions.
- Assist with data entry tasks, ensuring accuracy and completeness.
- Help organize and maintain filing systems for documents and records.
- Support the scheduling and coordination of internal meetings, appointments, or projects.
- Provide assistance to HR functions as needed, including organizing employee events and updating HR databases.
Additional Responsibilities:
- Track and maintain certifications for medical providers and medics, ensuring compliance with industry regulations.
- Monitor certification renewal dates and ensure timely renewals for all relevant staff.
Skills & Qualifications:
- Associate’s degree in Accounting, Business Administration, or related field preferred.
- 1 year of experience in accounting or administrative roles.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with accounting software (e.g., QuickBooks, Xero) is a plus.
- Strong organizational skills with the ability to multitask and prioritize tasks.
- Excellent communication skills and attention to detail.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Experience managing certification records and renewal processes is a plus.
