An Executive Assistant must be a highly organized and proactive individual. In this pivotal role, the Executive Coordinator will provide high-level administrative support to our executive team, contributing to the smooth operation and success of the organization.
Key Responsibilities:
- Executive Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and handling correspondence.
- Board and Committee Support: Assist in the coordination of board meetings, committee meetings, and other governance-related activities. Prepare meeting agendas, materials, and minutes as needed.
- Travel Coordination: Arrange travel logistics for executive team members, including booking flights, accommodations, and transportation. Prepare travel itineraries and ensure that all arrangements are made in accordance with company policies and preferences.
- Event Planning: Assist in the planning and execution of corporate events, conferences, and client meetings. Coordinate logistics, handle registrations, and liaise with vendors and venues to ensure successful event delivery.
- Document Management: Maintain and organize executive-level documents, files, and records, ensuring accuracy, completeness, and confidentiality. Manage electronic and physical filing systems for easy retrieval of information.
- Communication and Correspondence: Draft and edit correspondence, reports, and presentations on behalf of the executive team. Coordinate communication with internal and external stakeholders, ensuring timely and professional responses to inquiries.
- Project Coordination: Support special projects and initiatives as assigned by the executive team, providing administrative assistance and coordination as needed to ensure project success.
- Office Management: Oversee office supplies, equipment, and facilities to ensure a clean, organized, and functional work environment. Coordinate with vendors and service providers to address maintenance and repair needs.
- Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion and professionalism. Maintain strict confidentiality in all aspects of executive support and communication.
- Ad Hoc Support: Provide additional administrative support and assistance to other team members and departments as needed, contributing to the overall efficiency and effectiveness of the organization.
Qualifications:
- Bachelor's degree in Business Administration, Communications, or a related field.
- Previous experience providing executive-level administrative support in a fast-paced environment, preferably in a consulting or professional services firm.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple priorities simultaneously.
- Strong communication and interpersonal skills, with the ability to interact professionally with individuals at all levels of the organization.
- Proficiency in Microsoft Office Suite and other productivity tools. Experience with project management software is a plus.
- Detail-oriented with a high degree of accuracy and professionalism.
- Ability to work independently with minimal supervision and as part of a team.
- Discretion and confidentiality in handling sensitive information.
