Job Summary:
This position will directly report to the Dean of Admission and will be responsible for the management of the Office of Admission’s CRM, Salesforce/Jenzabar Recruitment Manager (JRM). This system holds the application materials for students interested in enrolling in the University and transfers information into the Student Information System, Jenzabar One (J1). This position will be responsible for working with the Dean of Admission to ensure data is timely and accurate for staff to assist students in their admission process as well as for the University to report on institutional research.
This is an open-rank position in Admissions-Operations with the title (Coordinator, Senior Coordinator, Assistant Director, Associate Director, Director) determined based upon the candidate’s experience and qualifications.
Position Duties and Responsibilities:
- Develop and maintain expertise in and facilitate staff utilization of the Office of Admission’s CRM (Salesforce/JRM)
- Oversee data entry into Salesforce/JRM including applications, transcripts, recommendations, resumes, essays, and other application materials as required.
- Work with third party vendors (Common App and Nursing CAS) to manage applications and application materials.
- Import data files and prospect lists from vendors (College Board, CBSS, Christian Connector, etc.) into Salesforce/JRM using Informatica.
- Build reports and export data to support the recruitment efforts of the Admissions staff, including but not limited to dashboard and funnel reports to be used campus-wide, as well as data/reports for institutional research.
- Assist with integration of admission and financial aid data between Salesforce/JRM and Jenzabar One.
- Create and manage forms through Salesforce/JRM and JICS.
- Complete regular software updates to stay compliant and up to date with the latest technology needs of Salesforce and TargetX.
- Create and manage events such as preview days, campus visits, and informational sessions through the Events portal in Salesforce.
- Prepare letters, templates, and labels
- Oversee 3rd party tool integration, use, and adoption, as well as make recommendations for future enhancements (such as SMS Magic for texting integration).
- Monitor and trouble shoot system errors and communicate with JRM Help Desk or Bushnell IT staff to combat issues as needed.
- Collaborate with the Dean of Admission and Director of Online & Graduate Admission to develop and implement communication flow, including conventional mailings and emails, to students during the recruitment cycles for each respective student population.
- Work collaboratively to enhance the overall database functioning and enhance the overall recruitment experience for students and staff.
- Assist in training new staff on Salesforce and update training materials as applicable.
- Participate in on-going meetings such as weekly staff meetings, divisional meetings, Jenzabar Implementation Meetings, and others as assigned.
Required Qualifications:
- Bachelor’s Degree
- 3-5 years of professional work experience in higher education and/or technology is required
- Preferred experience with Salesforce/Jenzabar Recruitment Manager
Applicants should possess the following skills:
- Strong database management and software experience
- High technical aptitude
- Excellent written and verbal communication skills
- Knowledge and skill in the areas of admissions and marketing
- Familiarity with HTML Code
- Ability to work independently and operate effectively within a team environment

- The position may occasionally require evening and weekend hours.
