What are the responsibilities and job description for the Coordinator for Instructional Materials position at Business Office?
Primary Purpose:
Direct and manage all instructional materials, including software services and textbooks, for the district and provide support for Warehouse Staff. Ensure efficient and effective access to information and realated instructional resources by all campuses and administrative departments.
Education / Certification:
- Bachelor’s degree preferred (equivalent experience can be substituted).
- At least three years of experience in district level instructional materials program.
Special Knowledge / Skills:
- Working knowledge of curriculum and instruction.
- Working knowledge of EMAT Online State Ordering System.
- Ability to manage budget.
- Ability to coordinate campus functions.
- Ability to implement policy and procedures.
- Ability to interpret data.
- Strong organizational, communication, public relations, and interpersonal skills.
- Knowledge of district software and hardware.
- Knowledge of textbook administration.
- Knowledge of current legislative updates as related to instructional materials.
- Knowledge of district IMA inventory system.
- Operate District Vehicle, 26 ft. Box Truck and Lift.
Experience / Other Requirements:
- Three years of experience and success in district level instructional materials program.
Major Responsibilties and Duties:
Instructional Technology and Information Management
- Assists with the development, implementation, and maintenance of a district wide instructional software plan.
- Assists in the identification and selection of new district software.
- Assists schools and administrative departments in the development and implementation of plans to address instructional software and textbook needs.
- Participates in the coordination of instructional professional development to ensure the best use of instructional materials.
- Maintains accurate records of all district’s instructional software.
- Maintains accurate records of all district’s instructional software maintenance agreements.
- Responsible for supervising district instructional software updates.
- Assists Warehouse Staff in route deliveries, pickups, and transfers.
Policy, Reports, and Law
- Oversees orders of textbooks according to district enrollment and in accordance with State and Local guidelines.
- Assists external auditors when audits are conducted.
- Remain current with all pertinent legal decisions and/or legislation.
- Receives, accounts for, and distributes new textbook adoptions.
- Composes and prepares correspondence.
Budget and Inventory
- Ensures IMA budget maximizes district instructional goals within allocated resources.
- Performs and/or supervises annual physical inventories at campuses and the Textbook Warehouse.
- Maintains and manage inventory database of all instructional materials.
- Supervises maintenance of an inventory for each individual campus.
- Supervises notification of campuses of out-of-adoption books and arranging pick up of these books.
- Supervises disposal of out-of-adoption books in accordance with State guidelines.
- Oversees coordination with freight line company for schedule of deliveries and pick up of new/old textbooks.
- Replaces worn-out textbooks.
- Assing and update asset tags for capital and non-capital inventory.
Personnel Management
- Seeks professional development opportunities for staff to ensure exemplary operations in the instructional materials area.
Other
- Responsible for properly maintaining district records, adhering to all policies set forth by the district for records maintenance and learning the records retention schedule for department records.
