Contract Days - 226
PRIMARY PURPOSE:
Assist in preparation of payroll for the district, including related reports and deposits. Work under close supervision to ensure accurate and timely preparation of payroll records by following prescribed procedures and regulations.
QUALIFICATIONS:
Education/Certification:
High School Diploma or GED
Special Knowledge/Skills:
Ability to prioritize workload and meet established deadlines
Knowledge of basic accounting procedures
Ability to maintain accurate and auditable records
Ability to use calculator (10-key by touch)
Ability to use personal computer and software to create spreadsheets, databases and do word processing
Proficiency in typing, keyboarding and file maintenance
Ability to work with numbers in accurate and rapid manner to meet established deadlines
Ability to communicate effectively, both written and oral
Knowledge of payroll procedures and reporting requirements related to the IRS, TWC and TRS
Experience:
Three years of payroll accounting experience, preferred
MAJOR RESPONSIBILITIES AND DUTIES:
1. Payroll Accounting
1.1 Assist in preparation of all payrolls including special payrolls
1.2 Oversee the electronic timekeeping system set up and operations within established procedures. Communicate to Payroll Supervisor issues that may arise.
1.3 Prepare and maintain electronic timekeeping system procedures, records and training materials.
1.4 Process semimonthly employee benefit invoices utilizing approved procedures.
1.5 Assist in detecting and resolving problemsn with incorrect statements of payroll vendors. Refer unusual problems to Payroll Supervisor and CFO.
2. Data Entry
2.1 Assist in preparation and submission of payroll reports and forms including those required by Internal Revenue Service, Texas Workforce Commission, Texas Retirement System, Federal Insurance Contributors' Act (FICA) and Medicare.
2.2 Assist in posting payroll changes including payroll deductions, salary changes, termination and new employee information
3. Records and Reports
3.1 Maintain physical and computerized payroll records
4. Other
4.1 Communicate with Human Resource department, campus secretaries, departmental secretaries and employees to ensure accuracy of information reported; resolve payroll problems and inquiries
4.2 Maintain confidentiality of information
4.3 Exemplify high standards of ethical conduct as described in board policy
4.4 Observe professional and ethical standards, in accordance with generally accepted community standards and the Professional Educators Code of Ethics
4.5 Other duties as assigned
