POSITION SUMMARY: Ensures that all inbound mail, including enrollment forms are processed timely and accurately. Performs other duties as directed by the supervisor or director.
ESSENTIAL JOB FUNCTIONS:
1) Receives incoming applications, reviews and change requests and associated documents from KS KanCare consumers and prospective consumers.
- Identify incoming mail by correct document type
- Determine completeness of document
- Lookup client using tools provided.
2) Date-stamps all forms received and counts as needed.
3) Sorts and batches forms for processing.
4) Scans and indexes all mail associated with a case or prospective case. Creates a task when needed.
5) Processes all outgoing mail.
6) Processes and scans all returned mail, assigning tasks as needed.
7) Handles all personal information in compliance with HIPAA guidelines criteria.
8) Performs other duties as directed by the Site Manager.
EDUCATION: High school diploma or equivalency.
EXPERIENCE: Two to four years of working experience. Mail room experience, including experience in scanning documents and assigning document types. Office administrative experience helpful.
SKILLS: Intermediate-level knowledge of computer operating systems required. Excellent written and verbal communication skills with peers and management to work with others on project. Participate as a team member. Time management skills; flexibility to learn new versions of software as required. Ability to read and interpret basic to moderately complex documents such as operating and maintenance instructions, procedure manuals, and government/healthcare guidelines.
TYPICAL PHYSICAL DEMANDS: Requires sitting, standing, bending, and reaching. Requires manual dexterity sufficient to operate machines such as digital equipment, computers, copier, fax file folders. Carry weights up to and including 25 pounds.
TYPICAL MENTAL DEMANDS: Ability to focus on task. Follow sequential process. Must have the ability to follow procedures as referenced in process manual. Treat peers, supervisors, and customers with courtesy, honesty, and integrity. Must be sensitive to the accommodation needs of fellow employees including those with disabilities. Must be willing and able to work under direct supervision.
