The Role

If you love a challenge and the thrill of planning events on a quarterly, semi-annual, and bi-monthly basis, we have a role for you!

We are seeking a self-starter who is confident in making decisions, understands the importance of operational excellence, prioritization and customer delight to serve as a Board Liaison across the Alamo’s multiple boards and key stakeholder communities.

The customers you will serve are our beloved board members and the executive staff. This role is the critical link, ensuring the right information is gathered, produced, and executed in a timely and compelling manner to enable productive discussions and decisions amongst the board of directors and chief executives in their board, committee, and advisory meetings. You will report to the General Counsel and interface heavily with the Executive Director and Chief Administrative Officer in addition to our esteemed board council & committee members. Confidence and congeniality are equally important. This is a new role and one that is essential as the Alamo continues to increase its impact as a world-class heritage site.

Qualifications:

- You have a proven track record of successfully coordinating complex meetings and events with a minimum of 3 years of experience, preferably at the executive level.

- You possess excellent communication and interpersonal skills, with a strong ability to build and sustain relationships.

- Preparing agendas, reports, and composing letters with compelling content & detail are second nature to you.

- You are discreet and can be trusted to maintain confidentiality at all times due to the sensitivity of the materials you work with.

- Tact, discretion, initiative, and independent judgment are hallmarks of your style.

- You have a working knowledge of Robert’s Rules of Order.

- You handle delegated assignments by the GC exceptionally well, ensuring timely and competent completion.

- Exceptional written and oral communication is natural to you.

- Strong computer skills including Microsoft Office, particularly with PowerPoint, Canva, Excel, and Word enable you to get your work done flawlessly.

- You have an outstanding ability to prioritize and make decisions even in the face of competing priorities or uncertainty.

- You understand business and have earned a bachelor’s degree from an accredited four-year college or university in business administration or in a related field.

Responsibilities:

- You will facilitate effective communication between the Executive Director, senior management, and the Board of Directors.

- You will run the OnBoard Software board member portal and expand engagement with it.

- You will also be the note-taker of minutes at the board meetings.

- Under the direction of the Executive Director, you will provide advanced administrative support to the Executive Director and Board of Directors.

- You maintain detailed and up-to-date records of board members, including contact information and any relevant preferences.

- You schedule and coordinate all board and committee meetings, ensuring the availability of participants and securing appropriate meeting spaces and logistics.

- You assist in the planning and coordination of special events, down to the littlest detail.

- You maintain records and filing systems accurately (including Board of Directors meetings/Committee meeting minutes).

- You are responsible for sending out and posting all packets (agendas and minutes) before each Committee meeting (including departmental updates and presentations).

- You prepare, organize, and distribute agendas, meeting materials, and presentations in a timely manner to appropriate staff, vendors, consultants and Board of Directors.

- You maintain the Executive Director and Board of Directors travel calendar, schedule meetings, conferences and virtual meetings.

- You prepare for Board of Directors meeting and all Committee meetings printing handouts, set up projector screen and audio system, catering, etc.

- You keep your executives in the loop regarding any issues or concerns that may arise during the planning of these events.
