Job Title: Generalist/Front Desk Reports To: General Manager

SUMMARY

BV Overlook is currently looking for reliable, outgoing and motivated members of our team. The Front Desk is responsible for the essential functions for the Front Desk position. Welcoming guests, receiving, fulfilling and reporting guests’ requests, creating reservations, providing activity recommendations, and checking guests out with a high level of service. This role will also be available to support the team where needed in different areas.

Part Time seasonal starting at $15/hour: May/June - October

ESSENTIAL RESPONSIBILITIES & DUTIES:

Essential duties and responsibilities may include, but are not limited to, the following:

  • Be yourself and genuinely care about each interaction you have.
  • Comply with all park and property operating procedures and policies.
  • Maintain confidentiality regarding guest information, reservation details, or any sensitive park matter.
  • Respect park property, furnishing, and equipment by using them properly and reporting damage or wear.
  • Proactively engage with guests to ensure satisfaction during their stay, addressing any concerns or special requests promptly.
  • Assist guests with check-in/check-out processes efficiently, ensuring accuracy in their accounts and providing them with necessary information about property amenities and services.
  • Ensure that all guest feedback, both positive and negative, is recorded and communicated appropriately to improve services and address concerns.
  • Assist with daily opening and closing procedures for the front desk, ensuring all operational systems are functioning properly.
  • Answer incoming phone calls and text messages promptly and professionally, ensuring a welcoming tone and providing excellent customer service.
  • Monitor occupancy and availability, ensuring accurate and up-to-date reservations are managed and communicated to the team.
  • Keep guest information and reservations updated and organized in the system for accuracy and easy access.
  • Support housekeeping, maintenance, and facilities teams by ensuring timely communication of room readiness, maintenance needs, or any other operational issues.
  • Collaborate with other team members to maintain smooth daily operations, particularly during peak seasons or high-traffic times.
  • Assist with administrative duties, such as updating guest records, managing correspondence, or filing.
  • Ensure that all guest transactions are processed and accurately recorded, including credit card payments, cash, and other charges.
  • Follow safety protocols and ensure guests are informed about emergency procedures.
  • Monitor and report any safety hazards or incidents immediately to the appropriate management personnel.
  • Maintain a secure environment for both guests and employees by following established safety procedures.
  • Promote property amenities, services, and upcoming events to guests to enhance their experience.
  • Assist with marketing initiatives, such as distributing property flyers.
  • Address guest complaints or service issues professionally, aiming to resolve them quickly and satisfactorily.
  • Assist in monitoring inventory for office supplies, amenities, and gift shop items, ensuring adequate stock levels and proper organization.
  • Document and escalate unresolved issues to the General Manager or appropriate staff for further assistance.
  • Perform other duties, including: participate in employee meetings, assist other departments on high turn days, complete projects as assigned.
  • Assist in maintaining and following all procedures for seasonal guest tracking, including managing reservation records, tracking guest stays, and ensuring compliance with seasonal booking policies.
  • Ensure proper communication with guests regarding seasonal rates, policies, and payment deadlines to ensure transparency and minimize booking issues.
  • Stay informed about property updates, seasonal changes, and service offerings to ensure you provide the most accurate and current information to guests.

Supervisory & Training responsibilities:

  • This role has no supervisory responsibilities.

QUALIFICATIONS:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge and/or skill required.

Education & Experience:

  • High school diploma or equivalent experience.
  • Front Desk or Customer service experience preferred.
  • Accurate, attention to detail, service oriented
  • Strong organizational skills
  • Positive attitude, strong interpersonal and diplomatic skills
  • Excellent math aptitude and cash handling ability
  • Excellent communication and organizational skills.
  • Professional demeanor
  • Proficient computer skills.
  • Reliably commute or planning to relocate before starting work Buena Vista, Colorado. (Required)

Able To:

  • Work days, nights, weekends, and holidays.
  • Learn Property Management Systems.
  • Remain calm under pressure or in the face of an emergency.
  • Plan and prioritize tasks in a self-directed work environment and maintain high levels of productivity without direct supervision.
  • Possess a current and valid driver's license, preferred.
  • Work independently or in a team environment and take direction.

PHYSICAL REQUIREMENTS

  • Must frequently lift and/or move up to 10 pounds.
  • Must occasionally lift and/or move up to 50 to 75 pounds.
  • Must be able to continually sit for period of times at the front desk using computer, phone and radio.
  • Must be able to walk and stand throughout 8-hour shift of time to perform duties.
  • Continually required to utilize hand and finger dexterity.
  • Work around and handle cleaning products, disinfectants, and other chemicals used in property maintenance and cleaning.
  • Must be able to grasp, write, use repetitive motion, listen, and hear.
  • Specific vision abilities required by this job include close vision; distance vision; color vision; peripheral vision; depth perception, and ability to adjust focus.
  • Must be able to bend, stoop, kneel, and reach to perform cleaning inspections, and maintenance tasks.
  • Occasionally required to climb ladders or step stools as necessary.
  • Ability to carry equipment or supplies over varying distances and terrain.
  • Must be comfortable working in an indoor and outdoor environment, including exposure to weather elements.
  • Ability to move quickly and efficiently around property to address guest needs or operational issues.
