SUMMARY
Office Assistant will play a vital role in ensuring the smooth and efficient operation of the office. Their duties generally include clerical and organizational tasks, such as providing administrative support to various departments, assisting in the execution of daily operations, and serving as a point of contact for both internal and external stakeholders.
JOB DESCRIPTION
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Arrange travel bookings for employees, including flights, accommodations, and transportation. Ensure all travel-related documentation is accurate.
- Address any changes or issues related to travel plans promptly, and coordinate with travel agencies or vendors as needed.
- Control the cost and manage the expense, prepare reports, presentations, and correspondence as required.
- File, organize, and retrieve documents and records, perform data entry and maintain accurate expense databases.
- Order and stock office supplies to maintain inventory levels, ensure proper maintenance and functionality of office equipment, monitor the fixed assets.
- Company culture advocacy.
- Maintain a tidy and organized office environment.
- Assist the supervisor with other tasks, such as order pickup or package drop-off in store and year-end inventory audits.
REQUIREMENTS:
- 1-2 years in administrative or clerical support roles is an advantage.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with data entry and maintaining office and expense databases or records.
- Knowledge of travel booking software.
- Friendly and professional demeanor for effective teamwork
- Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines.
- Capability to handle time-sensitive tasks efficiently and troubleshoot minor issues independently.
