Position Summary:
As a Construction Bookkeeper / Office Manager you will oversee financial and administrative operations. This role is responsible for managing payroll, accounts payable and receivable, certified payroll and general office management. The ideal candidate will ensure compliance with industry regulations, support job site reporting, and maintain smooth daily office functions.
Key Responsibilities:
Accounting & Financial Management:
- Process and manage office and union payroll, including payroll taxes, ensuring accuracy and compliance with union requirements and labor laws.
- Handle certified payroll reporting and compliance with prevailing wage regulations.
- Manage accounts payable (AP) and accounts receivable (AR), including data entry, invoice creation, processing, and collections.
- Bank account and credit card account reconciliations.
- Prepare and review expense reports for accuracy, documentation, and payment.
Office & Administrative Duties:
- Manage daily reports and documentation from job sites.
- Organize and distribute toolbox talks for safety and compliance purposes.
- Conduct bid follow-up calls to track project status and opportunities.
- Order and maintain office supplies to support daily operations.
- Provide general office assistance, including filing, correspondence, and phone support.
Compliance & Reporting:
- Ensure adherence to company and regulatory financial policies and procedures.
- Support audits and provide necessary documentation.
- Maintain accurate safety compliance records.
Position Requirements and Qualifications:
- Experience in accounting, bookkeeping, or office management, preferably in the construction industry.
- Knowledge of payroll processing, AP/AR, and other accounting procedures.
- Familiarity with construction unions, certified payroll and prevailing wage requirements.
- Proficiency in accounting software (i.e. Foundations) and Microsoft Office Suite.
- Experience handling bid tracking and follow-ups.
- Highly detail-oriented with excellent organizational, communication, and multitasking skills.
- Ability to work independently and as part of a team.
