The Byrne & Jones Sports Division has been at the forefront of outdoor athletic facility construction, completing over 1,400 projects for schools, universities, sport complexes, and parks throughout the Midwest. We need a detail-oriented Project Administrator with strong contract administration experience to support our Sports Division.
The Project Administrator will manage contract-related administrative duties, ensuring the smooth execution and compliance of cooperative contracts and other key project-related processes. This position will be crucial in managing documentation, tracking contract renewals, and supporting the Project Management team to facilitate the successful delivery of construction projects. Key Responsibilities:
- Manage cooperative contracts, ensuring all renewals and submissions are timely and compliant with established guidelines.
- Oversee the organization of contract-related files, ensuring they are maintained accurately in digital and physical formats.
- Assisting with ensuring compliance with all contract paperwork, including processing background checks and verifying qualification documents.
- Prepare, scan, and organize bid-related documents to support the Project Management team.
- Assist with new customer/vendor setup and credit applications, ensuring smooth onboarding and adherence to contractual terms.
- Enter project information into internal systems for accounting purposes, ensuring all records are accurate and current.
- Support project managers by accurately entering time and data into project management systems, including Heavy Job.
- Assisting in preparing warranty letters, closeout documents, and post-project reports, ensuring accuracy and thoroughness.
Qualifications:
- Associate’s or bachelor’s degree in paralegal studies, Business Administration, or a related field, or equivalent work experience in legal, administrative, or business settings.
- 3-5 years of experience in contract administration, construction coordination, or a similar role focusing on contract and document management.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and SharePoint (or similar document management systems).
- Must have a strong eye for detail, ensuring all contract and administrative tasks are completed accurately and timely.
- Strong verbal and written communication skills are essential to effectively support project teams and external partners.
- Ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
- Familiarity with the construction industry and project documentation processes is preferred but not required.
