Executive Personal Assistant on Team Supporting Executive Team, Family Investment Office, Dallas, Texas
A prestigious family investment firm is looking for an Executive Personal Assistant to work directly for the Senior Executive Personal Assistant to help support the CEO and C-Suite team. The Executive Assistant will report directly to the Senior EA in a "mentorship" to make sure you are fully trained and then will be given more responsibility. The ideal candidate has 3-5 years of experience working at a financial services firm supporting a team. This is an exciting opportunity for someone who enjoys a fast-paced environment, is eager to learn ,is a true team player and has a "no job too small" attitude.
About the Job:
Work directly for the Senior Executive Personal Assistant to support the C-Suite and be a back-up taking on duties as fit. The Executive Personal Assistant will report to the current Executive Assistant and get trained to understand the needs of senior leadership
Arrange complex calendars and scheduling of meetings, personal and professional
Arrange international and domestic travel arrangements, personal and professional including family vacations
Handle expense reporting
Assist Operations with AP/payment of invoices
Assist Operations with tracking and updating internal database
Assist Investment Team with tracking potential investment opportunities
Personal errands, as needed. Coordinate personal appointments such as board meetings unrelated to the investment firm, Dr.’s appointments, etc
Arrange lunches, dinners, events, personal and professional
General office management support; order supplies, check in guests, conference room set-up, catering for meetings
Ad hoc projects
Off hour availability via cell, within reason
Base Salary Plus Discretionary Bonus;100% Health Care Coverage for employee and family
About You:
Three to Five years of experience supporting C-Suite executives, and/or a team of Managing Directors/Partners at an investment/financial firm
Bachelor’s Degree
Very detail oriented with the ability to work independently to solve problems and anticipate needs
High level of integrity and discretion in handling all confidential information; high emotional and intellectual intelligence
Excellent Microsoft Office Suite skills; excellent written and verbal communication skills
A team player willing to handle jobs big and small to make the executives’ life easier
