Monitors patient cancellations and no shows. Submits clinic cancellation forms when providers are out or APPs are in the OR. Produces reports as requested by physician. 30% OR scheduling: Responsible for coordinating and organizing all aspects of surgical procedures, including scheduling, obtaining necessary authorizations, and ensuring smooth operations within the Pain Management surgical department. Schedules OR cases with vendors providing them with advanced notice of all cases and coordinates supplies for each visit. Identifies underutilized OR time and clinic time and proactively works with the nursing staff and physicians to schedule additional patients to ensure efficient use of clinical services. 20% Administrative: Provides administrative support for 5 faculty, 3 APPs and staff of the Anesthesia Pain Management Clinic including but not limited to updating CVs in the Interfolio database, typing, scheduling meetings and other academic time, faxing, mailing/emailing, ordering supplies, scheduling conference rooms, preparing correspondence and processing travel reimbursements in OurDay. Assists with collecting medical records and follows up on requests for records not received. Directs patient paperwork to appropriate clinics and once complete, routes to correct location. Mailing pain specific correspondence to patients, sorting and delivering mail to physicians. Assists nurses in the clinic with administrative tasks as needed including but not limited to, faxing, keeping printers loaded and running, scanning documents, printing documents, assisting with Epic messages. 20% Customer Service: Professionally answers telephone and relays messages (phone, email, fax and EPIC staff messages) in an accurate, timely manner. Screens and handles calls or refers to the appropriate person. 10% Electronic Medical Record Management: Works with the EPIC electronic medical record system to assure access to patient records; upload or scan material as needed into EPIC and Scanweb; and retrieve information for clinical care as required 5% Pre-Certifications: Works with financial counselor and precertification specialists to ensure required pre-certifications and authorizations are obtained prior to patient visit, especially with procedure visits and spinal cord stimulator cases. 5% Administrative Backup Duties: supports other administrative staff with backup duties as needed. 10% Additional Job Description Minimum Requirements: A high school diploma and four years relevant experience in business management, public administration or administrative services; or a bachelor's degree and two years experience in business management, public administration or administrative services.
