Cabinet Peaks Medical Center is looking for a Scheduler to join our Imaging team!
The scheduler performs scheduling services and coordinating patient procedures according to department protocols. This position also provides administrative support throughout the department in order to enhance the function of the Imaging Department optimizing patient care and ensuring a seamless patient experience.
Major Job Duties & Responsibilities
Manages front desk responsibilities. Maintains a professional and cheerful attitude when greeting and checking in patients and their families. Keeps the front desk clean and orderly. Keeps the patients as the focus, refrains from personal activity interfering with front desk responsibilities. Keeps orders filed in an orderly manner, insuring that duplicates and outdated orders are purged.
Functions as a departmental resource and is the message center for the department. Directs questions or concerns to the right staff member. Takes directions from others well with good ability to prioritize requests. Views position as being for the benefit and the assistance of the department as a whole.
Accurately schedules services and procedures per department protocol and as applicable to assigned area(s). Effectively explains and verifies any exam preparation to the patient as applicable.
Coordinates resources to ensure appropriate availability of equipment and supplies as applicable to assigned area(s).
Consistently exhibits professional, effective, and articulate communication verbally and in written form. Maintains confidentiality and respects patient privacy according to HIPAA compliance guidelines. Works efficiently and calmly under conditions of stress and in times of high patient volume or additional workload.
Works in collaboration with leadership and staff in maintaining daily operations and completion of tasks.
Greets and checks patients in. Directs patients to appropriate area to wait or change, as appropriate. Interacts in a positive way with patients and families, representing the department favorably and cheerfully.
Completes all necessary tasks for billing and reimbursement, including closing exams on MediTech. Maintains knowledge and awareness of medical necessity and performs necessary verification of medical necessity and/or facilitates ABN, as necessary. Obtains knowledge of outside patient resource for insurance coverage/ payment programs, such as Montana Cancer Screening.
Demonstrates an ability to be flexible, organized, and function under stressful situations in a positive and professional manner.
Interacts professionally with patient/family and treats patients/family with respect and dignity. Demonstrates great customer services skills, including excellent phone etiquette.
Maintains a good working relationship both within the department and with other departments. Consults others as appropriate to collaborate in improving patient care and performance.
Works with providers’ offices in obtaining patient orders and insuring that these orders meet the requirements for “valid doctors’ orders.” Insures that these valid orders are in hand the day before the scheduled exam. Performs reminder calls the day before exam and other calls to appropriately be prepared for the next day’s exams – forwarding Nuc Med & Echo information, etc.
Exhibits good work habits and efficient use of own and other’s time to be productive. Meets deadlines and is on time for scheduled work shifts and meetings.
Checks voicemails regularly throughout the day and responds within appropriate time frame.
Carries out additional duties as assigned by the leadership.
Skills, Knowledge, & Abilities
Must be able to function and excel in a team environment and relate positively and favorably to staff, patients, visitors, families, and physicians.
Must possess effective communication and writing skills.
Must possess computer skills in order to use e-mail, Word, Excel, Power Point, internet, electronic medical records, PACS system, etc.
Education Requirements
High school graduate or equivalent.
Experience
Minimum of 2 years previous work experience in healthcare or customer service preferred.
Knowledge and understanding of medical terminology with a certification completed within 6 months of hire date.
Schedule
Typically Monday-Friday, 8-5pm.
Schedules and shifts are subject to change based on patient care and department/organization needs.
